Job Summary
We are seeking a professional and detail-oriented Executive Assistant who can efficiently manage executive schedules, business communications, documentation, and coordination across departments. The ideal candidate should possess exceptional organizational skills, maintain strict confidentiality, and be capable of handling multiple priorities in a fast-paced business environment.
Key Responsibilities
- Manage the Director's calendar, appointments, meetings, and daily schedule.
- Coordinate internal and external meetings, conferences, and business engagements.
- Prepare meeting agendas, record Minutes of Meetings (MoM), and follow up on action items.
- Handle email correspondence, official communications, and business documentation on behalf of the Director.
- Prepare reports, presentations, MIS reports, business summaries, and management updates.
- Coordinate travel arrangements, including transportation, accommodation, itineraries, and related logistics.
- Maintain confidential records, contracts, agreements, and important business documents.
- Act as the primary liaison between the Director and internal teams, clients, vendors, and external stakeholders.
- Track ongoing projects and ensure timely follow-up on management directives.
- Assist with office administration, event coordination, and operational activities.
- Support business planning, data management, and cross-functional coordination.
- Ensure smooth communication and efficient information flow across departments.
Required Skills & Competencies
- Proficiency in MS Office Suite (Excel, Word, PowerPoint, and Outlook).
- Excellent verbal and written communication skills.
- Strong organizational, planning, and multitasking abilities.
- Ability to prioritize work and manage multiple deadlines effectively.
- High level of professionalism, integrity, and confidentiality.

Qualifications & Experience
- Bachelor's Degree in Business Administration, Management, Commerce, or a related discipline.
- 2–3 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or Administrative Executive.
- Prior experience supporting Directors, Founders, or Senior Management is highly preferred.
- Strong knowledge of office administration, documentation, business correspondence, and executive coordination.
- Experience in the manufacturing, trading, or industrial sector will be an added advantage.
