,About the Role
We are looking for an experienced Head of Administration to take complete ownership of administration and infrastructure across our growing retail network.
This is a hands-on, multi-location retail administration role. The ideal candidate should have experience managing a large network of retail stores across multiple cities and should be capable of handling store expansion, facilities, security, vendors, property matters, budgets, and administration teams.
You will be responsible for ensuring that stores open on time, operate smoothly, and remain secure, while building systems to support our PAN-India expansion.
Key Responsibilities:
1. Multi-Store Administration & Expansion:
- Own end-to-end administrative readiness for new store openings across India.
- Coordinate site readiness, fit-outs, utilities, statutory/local clearances, security installation, vendors, and final handover.
- Manage store relocation, renovation, and closure with minimum business disruption.
- Develop standard store-opening checklists, timelines, specifications, and SOPs.
- Track store rollout plans and report progress, risks, and delays to the COO.
2. Security & Incident Management:
- Own physical security across the retail network, including security agencies, CCTV, alarms, access control, safes, and strong rooms.
- Establish and audit security SOPs across all stores.
- Handle critical incidents including theft, loss, police cases, FIRs, and disputes in coordination with management and legal.
- Act as the first escalation point for serious branch incidents.
- Maintain incident MIS and identify recurring risks and corrective actions.
3. Facilities & Vendor Management:
- Manage housekeeping, security, maintenance, utilities, transport, and other facility services.
- Lead vendor onboarding, negotiations, AMC management, and service contracts.
- Develop and manage vendors across multiple cities.
- Ensure stores remain operational with minimum downtime.
4. Leasing & Property Management:
- Manage landlords, property owners, and brokers for new and existing stores.
- Handle lease negotiations, renewals, escalations, exits, and documentation.
- Track lease expiry dates, notice periods, and contractual obligations.
- Resolve property and landlord-related issues proactively.
5. Budget & Cost Management:
- Own the administration budget covering store setup and recurring operating expenses.
- Monitor administration cost per store and identify cost-saving opportunities.
- Manage vendor commercials and negotiate competitive rates.
- Develop cost estimates for new store openings and monitor actual vs. budget.
6. Team Leadership & Governance:
- Lead the overall Administration function and manage Admin, Facilities, IT/CCTV/networking, and Purchase/Vendor execution teams.
- Build and lead regional administration teams as the store network expands.
- Develop and implement administration SOPs, policies, and compliance systems.
- Conduct regular store audits and ensure closure of observations.
- Prepare and present daily, weekly, and monthly administration MIS to senior management.
Mandatory Requirements:
- 10–15 years of experience in Administration, Facilities, Retail Operations Support or similar functions.
- Minimum 4 years of experience leading administration across multiple cities.
- Proven experience in multi-city retail store rollout and store openings.
- Experience managing a large retail network; 100+ stores/branches is highly preferred.
- Strong experience in vendor management, facilities, security, and administration.
- Experience handling distributed teams across multiple locations.
- Proven budget ownership and commercial/vendor negotiation experience.
- Experience with leasing, landlords, and property-related matters.
- Comfortable handling incidents, police authorities, FIRs, theft/loss cases, and disputes.
- Retail experience is mandatory; jewellery, bullion, banking, cash logistics, or other high-value retail experience will be an advantage.
- Fluent in Hindi and English.
- Willingness to travel extensively across Delhi NCR and PAN India.

Pay: ₹50,000.00 - ₹75,000.00 per month
