Key Responsibilities
1. Facilities Strategy & Functional Leadership· Define and lead Bren’s facilities strategy across the project portfolio.· Establish the facilities operating model, organisation structure, service philosophy and governance framework for the function.· Develop consistent facilities standards across projects covering maintenance, housekeeping, common areas, service quality, safety and operational readiness.· Build a scalable facilities function aligned with Bren’s current portfolio and future growth.· Provide strategic advice to the Managing Director and leadership team on facilities performance, operational risks, service standards, investments and improvement priorities.· Establish portfolio wide benchmarks and continuously improve the maturity of the facilities function.· Ensure facilities operations support the quality, positioning and overall experience of Bren’s projects.
2. Facilities Operations & Asset Upkeep· Provide functional oversight of facilities operations across all Bren projects.· Establish standards for preventive maintenance, corrective maintenance, engineering services, housekeeping, common areas and other facility services.· Ensure appropriate systems are in place for monitoring facility condition, service levels, maintenance requirements and operational risks.· Drive consistency in facility standards and service delivery across projects.· Establish mechanisms for identifying recurring operational issues and implementing systemic solutions.· Ensure operational readiness and continuity of essential facility services.· Partner with Projects and other relevant functions on infrastructure, facility requirements and operational matters.
3. Security Leadership & Risk Management· Lead the security function across Bren’s project portfolio as an integral part of the overall facilities mandate.· Define security standards and operating frameworks covering access control, visitor management, surveillance, patrolling, incident management and emergency response.· Establish appropriate security models based on the risk profile and requirements of individual projects.· Lead the governance and performance management of security agencies and security personnel.· Ensure effective processes for security risk assessment, incident reporting, investigation, escalation and corrective action.· Review significant security incidents and identify systemic improvements to strengthen prevention and preparedness.· Drive adoption of appropriate security technology, surveillance and access management systems.· Partner with relevant internal functions and external authorities on significant security, safety and emergency matters.
4. Service Standards & Operational Governance· Establish portfolio wide KPIs, SLAs and service standards for facilities and security.· Build a structured governance mechanism for reviewing project performance, service quality, incidents, risks, manpower, vendors and operating costs.· Conduct periodic operational and facility audits across projects.· Establish clear escalation and accountability mechanisms for operational issues.· Ensure SOPs, checklists, controls and reporting mechanisms are consistently implemented.· Use operational data and insights to identify trends, risks and opportunities for improvement.· Drive a culture of operational discipline, accountability and continuous improvement.
5. Commercial & Cost Management· Own the facilities and security operating budgets across the project portfolio.· Establish cost benchmarks and drive effective utilisation of operating resources.· Identify opportunities for standardisation, productivity improvement and sustainable cost optimisation.· Lead commercial evaluation and governance of facilities, security, housekeeping, maintenance and other service contracts.· Monitor vendor costs, manpower deployment, contract performance and operating expenditure.· Partner with Finance and business leadership on budgets, forecasts, cost controls and investment decisions.· Balance cost efficiency with service quality, safety, security and stakeholder expectations.
6. Vendor & Service Partner Management· Build and manage a strong ecosystem of facilities, security, housekeeping, maintenance and specialist service partners.· Establish clear standards for vendor selection, contracting, service delivery and performance management.· Define SLAs, KPIs and governance mechanisms for key service partners.· Conduct structured performance reviews and drive timely resolution of service gaps.· Ensure vendors operate in line with Bren’s service, safety, security and conduct expectations.· Continuously evaluate the vendor ecosystem to strengthen capability, service quality and commercial outcomes.
7. Customer & Stakeholder Experience· Establish facilities service standards that support a high quality customer, occupant and stakeholder experience.· Ensure common areas and customer facing environments are maintained to defined standards.· Partner with Projects, CRM, Administration and other functions to resolve significant facility and service issues.· Use stakeholder feedback and operational data to identify opportunities to improve the overall project experience.· Act as the senior escalation point for significant facilities and security concerns.· Ensure facilities standards are aligned with the quality and positioning of Bren’s developments.
8. Organisation & Leadership· Build and lead a strong facilities and security leadership team with clear accountability across projects and functional areas.· Establish the organisation structure, role clarity, performance expectations and succession framework for the function.· Develop leadership capability across project facilities teams and create a strong internal talent pipeline.· Ensure appropriate manpower, capability and leadership depth to support Bren’s portfolio.· Establish clear decision rights and accountability across levels of the function.· Build a culture of ownership, service excellence, operational discipline and continuous improvement.· Set high standards of professionalism, integrity and accountability across internal teams and service partners
.9. Technology & Continuous Improvement· Lead the adoption of technology and data driven practices across facilities and security operations.· Identify opportunities to improve maintenance management, service tracking, access control, surveillance, incident reporting and operational visibility.· Establish portfolio level dashboards and management information to support decision making.· Drive standardisation, process improvement and digitalisation across projects.· Evaluate emerging technologies and operating practices that can improve facility performance, security, efficiency and service quality.· Lead initiatives that strengthen the overall operating maturity of the function.
Key Requirements·
18+ years of progressive experience in facilities management in real estate operations or a related environment.
· Significant experience leading large, multi site facilities operations across a portfolio of properties or projects.
· Strong experience leading security as an integral part of a facilities or property operations function.
· Experience managing facilities across residential, commercial, hospitality, mixed use developments or large property portfolios is preferred.
· Demonstrated experience developing operating models, governance frameworks, service standards and performance management systems.
· Strong understanding of engineering and maintenance coordination, housekeeping, soft services, common area management, security and facility operations.
· Strong commercial orientation with experience managing operating budgets and outsourced service ecosystems.
· Proven experience leading large teams through multiple levels of management and external service partners.
· Strong understanding of security, safety, statutory requirements, vendor governance and operational risk
.· Demonstrated ability to lead through strategy, operating frameworks, governance and leadership teams.
· Strong stakeholder presence with the ability to influence senior leadership and work effectively across functions.
· Demonstrated ability to build scalable functions, strengthen operational maturity and drive continuous improvement across a growing portfolio.
· Strong business judgement, problem solving ability and the ability to operate effectively in a high accountability
