Main tasks and Daily responsibilities
for the
DM/MGR – Administration & Facilities Rola
1. Facility & Office Operations
- Oversee smooth functioning of office supplies, courier services, and logistics
- Monitor upkeep of infrastructure, including gym, creche, and common areas.
- Ensure timely maintenance and repairs for office equipment and facilities.
2. Vendor & Service Management
- Coordinate with vendors for canteen, cab services, housekeeping, and security.
- Verify vendor bills, ensure accuracy, and process payments on time.
- Onboard new vendors and negotiate contracts to maintain cost efficiency.
3. Administrative Coordination
- Manage distribution of uniforms, festive gifts (e.g., Diwali), and other employee welfare initiatives across locations.
- Organize office activities, workshops, and stakeholder meetings.
- Facilitate cross-location communication to ensure consistency in administrative practices.
4. Employee & Outsourced Staff Oversight
- Supervise outsourced employees (housekeeping, security, drivers, etc.) to ensure service quality.
- Address day-to-day employee facility needs and resolve issues promptly.
5. Project & Infrastructure Management
- Track progress, prepare reports, and present updates to management.
6. Documentation & Reporting
- Draft SOPs, policy documents, and vendor contracts using MS Word.
- Prepare dashboards and reports in Excel (using Pivot Tables, VLOOKUP/XLOOKUP).
- Create presentations in PowerPoint for project updates and status reporting.
