Role Summary
We are seeking an experienced and proactive professional with 10+ years of experience to lead Administration, IT Coordination, and Facilities Management for our Chennai office. This role will be responsible for ensuring uninterrupted office operations, maintaining IT infrastructure, managing vendors, ensuring statutory and safety compliance, optimizing facility costs, and delivering an exceptional workplace experience for employees.
The ideal candidate should possess strong leadership, vendor management, problem-solving, budgeting, and operational excellence skills while effectively collaborating with cross-functional teams.
Key ResponsibilitiesAdministration & Office Operations
- Manage end-to-end administration of the Chennai office.
- Ensure smooth day-to-day office operations with minimal disruption.
- Oversee office maintenance, housekeeping, pantry, security, transport, and workplace services.
- Maintain office assets, furniture, equipment, and consumables.
- Develop and implement administrative policies and SOPs.
- Ensure availability of all office supplies and infrastructure.
- Monitor administrative budgets and optimize operational costs.
- Handle AMC renewals and maintenance schedules for office equipment.
IT Administration & Infrastructure Coordination
- Manage office IT infrastructure including laptops, desktops, printers, networking equipment, Wi-Fi, CCTV, biometric systems, and conferencing facilities.
- Coordinate with internal technology teams and external IT vendors for issue resolution.
- Manage employee onboarding and exit IT asset allocation and recovery.
- Maintain IT asset inventory and lifecycle management.
- Ensure timely procurement and replacement of IT assets.
- Coordinate software licensing and annual renewals.
- Monitor IT support SLAs and ensure prompt resolution of employee IT issues.
- Ensure data security, device compliance, antivirus updates, and endpoint management.
- Support implementation of new technologies and workplace automation initiatives.
Facilities Management
- Ensure optimal functioning of electrical systems, HVAC, DG backup, UPS, plumbing, elevators, fire safety systems, and office infrastructure.
- Conduct periodic facility inspections and preventive maintenance.
- Ensure cleanliness, hygiene, and workplace safety standards.
- Manage workspace planning, seating allocation, and office expansions.
- Coordinate office renovations and infrastructure projects.
- Ensure uninterrupted utility services including electricity, internet, water supply, and telecom.
Vendor & Contract Management
- Identify, onboard, and manage facility and IT vendors.
- Negotiate commercial agreements and service contracts.
- Monitor vendor performance against agreed SLAs.
- Process vendor invoices and ensure timely payments.
- Drive cost optimization while maintaining service quality.
Asset Management
- Maintain accurate records of all office and IT assets.
- Conduct periodic physical asset verification and audits.
- Ensure proper tagging, tracking, movement, and disposal of assets.
- Maintain inventory accuracy and asset lifecycle documentation.
Health, Safety & Compliance
- Ensure compliance with workplace safety regulations and statutory requirements.
- Coordinate fire safety drills and emergency preparedness initiatives.
- Maintain licenses, certifications, and compliance documentation.
- Liaise with government authorities and regulatory agencies whenever required.
- Ensure adherence to company security protocols and access control systems.
Employee Support & Workplace Experience
- Deliver a safe, comfortable, and productive workplace environment.
- Ensure quick resolution of employee administration and facility-related concerns.
- Support employee engagement events and office activities.
- Coordinate logistics for leadership visits, meetings, and company events.
Budgeting & Reporting
- Prepare and manage annual administration and facility budgets.
- Track monthly operating expenses and identify cost-saving opportunities.
- Publish periodic MIS reports covering administration, IT assets, vendor performance, and facilities.
- Present operational updates and improvement initiatives to leadership.

Experience
- 5+ years of experience in Administration, Facilities Management, and IT Administration.
- Experience in managing corporate offices, preferably in a fast-paced startup, healthcare, technology, or e-commerce environment.
- Proven experience handling office infrastructure, IT assets, vendor management, budgeting, and workplace operations.
