Job Summary
The Human Resources Assistant provides administrative and operational support to the HR department. This role assists with recruitment, employee onboarding, maintaining employee records, attendance management, payroll support, and ensuring compliance with company policies. The ideal candidate should possess excellent organizational, communication, and interpersonal skills while maintaining confidentiality.
Key ResponsibilitiesRecruitment & Onboarding
- Assist in posting job vacancies on job portals and social media.
- Screen resumes and schedule interviews.
- Coordinate with candidates and hiring managers throughout the recruitment process.
- Prepare offer letters, appointment letters, and onboarding documents.
- Conduct new employee orientation and induction.
Employee Records & Administration
- Maintain accurate employee files and HR databases.
- Update employee information, contracts, and other HR documentation.
- Ensure confidentiality of employee records.
- Prepare HR reports as required.
Attendance & Leave Management
- Monitor employee attendance and leave records.
- Coordinate with department heads regarding attendance discrepancies.
- Maintain leave balances and attendance reports.
Payroll Support
- Collect attendance and leave data for payroll processing.
- Assist in preparing payroll-related documentation.
- Coordinate with the finance department for payroll activities.
Employee Relations
- Respond to employee queries regarding HR policies and procedures.
- Support employee engagement activities and company events.
- Assist in grievance handling and disciplinary documentation.
Compliance
- Ensure HR documentation complies with labor laws and company policies.
- Assist in maintaining statutory records and HR compliance documentation.
General HR Support
- Prepare HR letters, certificates, and employment verification documents.
- Support performance appraisal activities.
- Perform other HR and administrative duties assigned by management.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 0–2 years of experience in Human Resources or Administration.
- Fresh graduates with relevant internships may also apply.
Required Skills
- Strong communication and interpersonal skills.
- Good organizational and time management abilities.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Knowledge of HR processes and labor laws is an advantage.
- Ability to maintain confidentiality and professionalism.
- Attention to detail and accuracy.
- Ability to multitask in a fast-paced environment.
Preferred Qualifications
- Experience with HRMS or payroll software.
- Basic understanding of recruitment and onboarding processes.
Working Conditions

- Standard office working hours.
- May require occasional overtime during recruitment or payroll periods.
