Job Title: Project Coordinator

About the Role
We're looking for a civil engineer to coordinate execution across our development, interior, and turnkey construction projects — tracking daily progress across all sites, aligning teams, and ensuring nothing falls through the cracks between design, site, procurement, and management. This role acts as the central point holding project timelines, documentation, communication, and cross-team coordination together, and is the bridge between every stakeholder involved — client-side and internal, team-to-team.
Key Responsibilities
Daily Project Tracking & Reporting
- Track daily movement and progress across all active project sites
- Consolidate site-wise updates into a single daily report and send it out to management by end of day
- Set up and maintain an automated reporting system (e.g. via DPR forms feeding a live tracker) so the consolidated report generates with minimal manual compilation
- Flag delays, bottlenecks, or resource gaps early and escalate to the right stakeholder
Stakeholder Communication — The Bridge Role
- Act as the primary communication bridge between external stakeholders (clients, consultants, contractors, vendors) and internal stakeholders (site teams, design, procurement, management)
- Also bridge communication across internal teams — ensuring design, site, procurement, and finance are aligned and nothing gets lost between departments
- Send timely emails on project updates, action items, and follow-ups to all relevant parties
- Ensure every stakeholder — internal or external — is kept aligned on project status, decisions, and next steps
- Escalate communication gaps or unresponsive stakeholders to management promptly
Meetings & Documentation
- Create and circulate Minutes of Meeting (MOM) for all project-related meetings — internal and client-facing
- Track action items from MOMs to closure, following up with responsible parties
- Prepare and sign off on weekly progress reports before submission to management/clients
- Maintain organized project files — drawings, approvals, change orders, correspondence, MOMs
Site & Execution Support
- Conduct regular site visits to monitor progress, quality, and adherence to drawings/specifications
- Coordinate material and manpower planning with site engineers and procurement
- Support resolution of on-site execution issues by looping in the right technical/design resource
Reporting
- Prepare the daily consolidated project report (see above) and weekly/monthly progress reports for management
- Track variation/change orders and ensure proper documentation and approval before execution
Cross-Functional Liaison
- Ensure approvals (DOA matrix, payment approvals) move through the right channels without delay
- Coordinate handover documentation at project completion
PMO Support
- Serve as the de facto PMO analyst — feeding data into the COO/management dashboard
- Support rollout and upkeep of project management templates and systems (trackers, DPR, variation forms, etc.)
- Ensure standard processes are followed consistently across projects
Requirements
- Bachelor's degree in Civil Engineering (mandatory)
- 3-8 years of experience in project coordination, site engineering, or PMO roles — real estate, interiors, or turnkey construction background preferred
- Strong understanding of construction sequencing, execution processes, and site documentation
- Excellent written communication skills — comfortable drafting professional emails, MOMs, and reports independently
- Excellent follow-up discipline and ability to track multiple concurrent projects daily without missing updates
- Confident communicating with and managing multiple stakeholders — clients, consultants, contractors, and internal teams alike
- Proficiency with MS Excel; familiarity with project management/reporting tools (Zoho Projects, Google Forms/Sheets, MS Project, etc.) is a strong plus
- Willingness to travel between sites regularly
Pay: ₹30,000.00 - ₹50,000.00 per month
