An Admin Manager is responsible for overseeing the organization's administrative functions, ensuring smooth office operations, supporting project teams, managing facilities, and maintaining compliance with company policies and statutory requirements.
Key Roles and Responsibilities1. Office Administration
· Oversee day-to-day administrative operations across corporate and project offices.
· Develop and implement administrative policies and procedures.
· Ensure efficient utilization of office resources and infrastructure.
· Maintain a safe, organized, and productive work environment.
2. Facility Management
· Manage office premises, project site offices, guest houses, and common facilities.
· Coordinate maintenance of buildings, electrical systems, plumbing, HVAC, and office equipment.
· Ensure cleanliness, security, housekeeping, and workplace safety standards.
3. Vendor and Contract Management
· Identify, evaluate, and manage administrative vendors and service providers.
· Negotiate contracts for housekeeping, security, transportation, office supplies, and maintenance services.
· Monitor vendor performance and ensure timely service delivery.
· Process vendor bills and maintain service agreements.
4. Asset Management
· Maintain records of office assets, furniture, IT equipment, and machinery.
· Monitor asset allocation, movement, maintenance, and disposal.
· Conduct periodic physical verification of company assets.
5. Procurement & Inventory
· Manage procurement of office supplies, stationery, furniture, and administrative materials.
· Maintain inventory levels and prevent shortages or excess stock.
· Ensure cost-effective purchasing practices.
6. Project Administration Support
· Coordinate administrative requirements for construction sites and project offices.
· Arrange accommodation, transportation, and logistics for project staff.
· Support mobilization of manpower and office infrastructure at project locations.
7. Employee Support Services
· Manage travel arrangements, accommodation, and transportation for employees.
· Coordinate employee welfare initiatives and office events.
· Ensure smooth onboarding support, including workspace allocation and ID card issuance.
8. Documentation & Record Management
· Maintain administrative records, agreements, licenses, insurance documents, and statutory registrations.
· Ensure proper filing and retrieval of important documents.
· Support internal and external audits with administrative documentation.
9. Compliance & Statutory Requirements
· Ensure compliance with local municipal regulations, labor laws, fire safety, and environmental norms.
· Coordinate renewals of office licenses, permits, insurance, and statutory certificates.
· Maintain emergency response and workplace safety procedures.
10. Security Management
· Supervise security personnel and access control systems.
· Monitor visitor management and surveillance systems.
· Ensure adequate protection of company assets and confidential information.
11. Budget & Cost Control
· Prepare and manage the annual administration budget.
· Monitor administrative expenses and identify cost-saving opportunities.
· Ensure efficient utilization of administrative resources.
12. Team Management
· Lead and supervise administrative staff, housekeeping, security, drivers, and office assistants.
· Assign responsibilities and monitor performance.
· Conduct training and ensure adherence to company policies.
13. Coordination with Departments
· Work closely with HR, Finance, Procurement, Projects, Sales, and Management.
· Ensure timely administrative support for business operations.
· Facilitate communication between corporate and site offices.
14. Reporting & MIS
· Prepare periodic administrative reports and management information (MIS).
· Track administrative expenses, vendor performance, and facility maintenance.
· Present operational updates and improvement recommendations to management.

Educational Qualification

· 7–12 years of administrative experience, preferably in the real estate, construction, or infrastructure industry.
