About the Role: The Tour Coordinator – Operations is responsible for planning, coordinating, and executing all operational aspects of spiritual tours. The role involves ticket booking, itinerary management, accommodation coordination, vendor communication, and ensuring a seamless travel experience for pilgrims from the beginning to the successful completion of the yatra.
Key Responsibilities:
Tour Planning & Coordination
- Coordinate end-to-end tour operations for domestic and international spiritual yatras.
- Prepare and manage detailed tour itineraries.
- Coordinate with internal departments to ensure smooth tour execution.
- Ensure all travel arrangements are completed before departure.
Ticket Booking
- Book flight, train, and bus tickets as per tour schedules.
- Coordinate with travel partners for ticket confirmations and modifications.
- Monitor waitlisted tickets and arrange suitable alternatives when required.
- Maintain booking records and travel documents.
Itinerary Management
- Prepare detailed day-wise itineraries.
- Update itineraries based on operational changes.
- Coordinate sightseeing schedules, temple visits, and local transportation.
- Ensure all tour members receive updated itineraries before departure.
Accommodation & Vendor Coordination
- Coordinate hotel bookings and room allocations.
- Liaise with transport providers, hotels, guides, and local vendors.
- Ensure timely confirmations and vendor payments as per company procedures.
- Resolve operational issues with vendors during the tour.
Documentation
- Prepare passenger manifests and operational checklists.
- Verify traveler documents before departure.
- Maintain tour files and booking records.
- Prepare operational reports after each tour.
Tour Execution Support
- Coordinate with Tour Guides throughout the journey.
- Monitor daily tour progress and provide operational support.
- Handle last-minute booking changes and emergency arrangements.
- Ensure smooth coordination between pilgrims, guides, and service providers.
Customer Support
- Assist pilgrims with travel-related queries before departure.
- Share departure details, ticket information, and reporting instructions.
- Provide prompt support for operational concerns during the yatra.
- Ensure a high level of customer satisfaction.
Compliance & Quality
- Follow company SOPs and operational standards.
- Ensure timely completion of all bookings and confirmations.
- Maintain confidentiality of customer information.
- Continuously identify opportunities to improve operational efficiency.
Required Qualifications
- Bachelor's degree
- 1–3 years of experience in tour operations or the travel industry.
- Freshers with relevant qualifications and strong communication skills may also apply.
Required Skills
- Knowledge of domestic and international ticket booking procedures.
- Strong itinerary planning and tour coordination skills.
- Excellent organizational and time management abilities.
- Strong communication and interpersonal skills.
- Ability to handle multiple tours simultaneously.
- Problem-solving and decision-making skills.
- Proficiency in MS Excel, Word, and email communication.
- Experience with travel booking portals or reservation systems is an added advantage.
- Ability to work under pressure and meet deadlines.
Preferred Skills
- Knowledge of major spiritual destinations across India.
- Familiarity with pilgrimage tour operations.
- Fluency in English and one or more regional languages (Kannada, Telugu, Tamil, Hindi, etc.).
- Willingness to travel occasionally based on operational requirements.
