he Executive Assistant to the Managing Director is responsible for providing high-level administrative, operational, and strategic support to the MD. The role requires excellent organizational skills, confidentiality, strong communication abilities, and the capability to coordinate with internal and external stakeholders to ensure smooth execution of business priorities.
Key ResponsibilitiesExecutive Support
- Manage the MD's calendar, appointments, meetings, and travel schedules.
- Prioritize and coordinate daily tasks, ensuring efficient time management.
- Screen calls, emails, and correspondence on behalf of the MD.
- Draft professional emails, letters, presentations, reports, and official communications.
- Prepare agendas, meeting notes (MOM), and follow up on action items.
Coordination & Communication
- Act as the primary point of contact between the MD and internal departments.
- Coordinate with department heads to collect reports, updates, and MIS.
- Schedule management meetings, board meetings, and review sessions.
- Maintain effective communication with clients, vendors, partners, and stakeholders.
Business & MIS Support
- Prepare daily, weekly, and monthly MIS reports for the MD.
- Track business performance, targets, and departmental updates.
- Monitor pending tasks and ensure timely completion.
- Assist in preparing presentations for business reviews and investor meetings.
Documentation & Compliance
- Maintain confidential records, contracts, agreements, and official documents.
- Ensure proper filing and documentation of important correspondence.
- Coordinate approvals and maintain records of policy documents.
Travel & Event Management
- Arrange domestic travel, accommodation, and itineraries.
- Coordinate internal events, leadership meetings, and business conferences.
- Manage logistics for official visits and external meetings.
Administrative Responsibilities
- Maintain office supplies and executive office records.
- Coordinate with Admin, HR, Finance, and Operations departments.
- Handle confidential information with complete discretion.
- Perform additional tasks assigned by the Managing Director.
Required Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or related field.
- MBA will be an added advantage.
Experience
- 3–6 years of experience as an Executive Assistant, Personal Assistant, or Executive Coordinator.
- Experience in NBFC, Banking, Financial Services, or Corporate sector preferred.
