About the Role
Rainbow International School is looking for an experienced and proactive Chief Admin to lead and oversee all administrative, facilities, and operational functions across the school and corporate office. The ideal candidate will ensure smooth day-to-day operations, maintain infrastructure, manage vendors and support staff, ensure statutory compliance, and create a safe, efficient, and well-maintained environment for students, parents, and employees.
Key ResponsibilitiesAdministration & Operations
- Oversee the overall administrative operations of the school and corporate office.
- Ensure smooth day-to-day functioning of all departments by providing administrative support.
- Develop, implement, and monitor administrative policies and Standard Operating Procedures (SOPs).
- Coordinate with department heads to ensure operational efficiency.
Facilities & Infrastructure Management
- Supervise maintenance of school buildings, classrooms, offices, utilities, and common areas.
- Ensure timely repairs, preventive maintenance, and infrastructure upgrades.
- Monitor housekeeping, security, transport, and facility management services.
- Maintain high standards of cleanliness, hygiene, and safety across the campus.
Vendor & Asset Management
- Manage vendor selection, negotiations, contracts, and service quality.
- Oversee procurement of administrative supplies, furniture, equipment, and maintenance materials.
- Maintain inventory and asset registers.
- Ensure cost-effective purchasing while maintaining quality standards.
Compliance & Safety
- Ensure compliance with all statutory, legal, and educational regulations.
- Coordinate fire safety audits, health inspections, and emergency preparedness drills.
- Maintain necessary licenses, certifications, and administrative records.
- Implement workplace safety policies and risk management procedures.
Transport & Security
- Supervise transport operations, including route planning and vehicle maintenance.
- Ensure student and staff safety through effective security management.
- Monitor CCTV systems, access control, and visitor management processes.
Budget & Cost Control
- Prepare and manage the administration department budget.
- Monitor operational expenses and identify cost-saving opportunities.
- Ensure efficient utilization of resources without compromising service quality.
Team Management
- Lead and supervise administrative staff, housekeeping, maintenance, transport, and security teams.
- Conduct performance reviews and provide training where required.
- Foster a culture of accountability, discipline, and continuous improvement.
Reporting
- Prepare periodic MIS reports on administration, facilities, maintenance, and operational performance.
- Present operational updates and recommendations to senior management.
- Monitor key operational KPIs and implement improvement initiatives.
Desired Profile
- Graduate/Postgraduate in any discipline (MBA/PG in Administration or Operations preferred).
- 5 years of experience in administration, facilities management, or operations, preferably in educational institutions or corporate organizations.
- Strong leadership and people management skills.
- Excellent communication, negotiation, and interpersonal abilities.
- Sound knowledge of vendor management, procurement, and facility operations.
- Strong problem-solving, decision-making, and crisis-management skills.
- Proficiency in MS Office, ERP systems, and administrative software.
- Ability to manage multiple functions in a fast-paced environment.
