We are looking for a highly organized, proactive, and professional Executive Secretary to the Director to provide comprehensive executive and administrative support to the Director. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling correspondence, maintaining confidentiality, and ensuring timely follow-up on key tasks and decisions.
The role requires excellent communication, strong attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage the director’s daily calendar, appointments, meetings, and schedules.
- Coordinate internal and external meetings, appointments, and conference calls.
- Prepare meeting agendas, presentations, reports, and other business documents.
- Attend meetings with the director, prepare Minutes of Meeting (MoM), and track action points to ensure timely closure.
- Act as a key point of coordination between the director and internal departments, clients, vendors, business partners, and other stakeholders.
- Handle emails, correspondence, phone calls, and official communication on behalf of the director when required.
- Maintain trackers for important tasks, deadlines, follow-ups, and commitments.
- Coordinate travel arrangements, including transportation, accommodation, itineraries, and other travel-related requirements.
- Prepare and maintain reports, MIS, presentations, and other management documents as required.
- Collect information and updates from various departments and present them to the director in a clear and concise manner.
- Maintain and organize confidential records, documents, and business information.
- Ensure that important deadlines, meetings, and pending activities are brought to the director’s attention on time.
- Support the director in special projects, business assignments, research, and presentations as required.
- Coordinate with different departments to ensure timely execution of instructions and decisions communicated by the director.
- Handle sensitive and confidential matters with a high degree of professionalism, integrity, and discretion.
- Anticipate the director’s requirements and proactively manage tasks with minimal supervision.
- Perform any other executive, administrative, or coordination responsibilities assigned by the Director.
Required Skills & Qualifications
- Bachelor’s degree in any discipline.
- 6 years of experience as an Executive Secretary, Executive Assistant, Personal Assistant, or similar role supporting senior management.
- Excellent verbal and written communication skills.
- Strong proficiency in MS Office – Word, Excel, and PowerPoint.
- Strong organizational and time-management skills.
- Excellent coordination, follow-up, and multitasking abilities.
- Professional communication and interpersonal skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential and sensitive information with complete discretion.
- Ability to work independently, prioritize tasks, and manage deadlines.
- Strong problem-solving and proactive approach.

Preferred Candidate Profile
The ideal candidate should be mature, dependable, well-organized, proactive, and highly professional, with the ability to communicate confidently with senior management and external stakeholders.
Candidates with prior experience supporting an MD, CEO, Director, CXO, or senior leadership team will be preferred.
Pay: ₹30,000.00 - ₹50,000.00 per month
