We are seeking a dynamic Operations Administrator who can drive operational excellence, improve patient experience, and contribute to business growth and revenue generation.
Job Summary
The Operations Administrator will be responsible for overseeing the day-to-day operations of the IVF center, ensuring seamless coordination across departments, enhancing patient satisfaction, optimizing resource utilization, and supporting revenue growth initiatives.
Key ResponsibilitiesOperations Management
- Oversee daily operations of the IVF center and ensure smooth workflow across all departments.
- Coordinate with doctors, embryologists, nurses, counselors, and support teams.
- Monitor appointment scheduling, patient flow, and treatment coordination.
- Identify and resolve operational bottlenecks.
Revenue Generation & Business Growth
- Monitor daily, weekly, and monthly revenue performance against targets.
- Drive conversion of consultation patients into treatment cycles through effective coordination with counselors and patient care teams.
- Track key business metrics such as inquiry-to-consultation and consultation-to-treatment conversion rates.
- Support implementation of patient retention and referral programs.
- Identify opportunities to improve revenue through operational efficiencies and enhanced patient services.
- Coordinate with the marketing team on lead management and follow-up processes.
- Develop relationships with referring doctors, clinics, and healthcare partners to increase patient referrals.
- Monitor package utilization, billing accuracy, and revenue leakage prevention.
- Prepare revenue and business performance reports for management review.
Patient Experience Management
- Ensure a high standard of patient service and satisfaction.
- Handle patient concerns and complaints effectively.
- Monitor patient feedback and implement improvement initiatives.
- Enhance the overall patient journey from inquiry to treatment completion.
Staff Coordination & Team Management
- Support workforce planning, staff scheduling, and attendance management.
- Coordinate employee training and performance monitoring.
- Foster collaboration among departments.
Inventory & Procurement Management
- Monitor inventory levels of IVF consumables, medications, and office supplies.
- Coordinate procurement activities and vendor management.
- Ensure timely availability of critical operational materials.
Facility & Infrastructure Management
- Oversee housekeeping, maintenance, security, and facility operations.
- Ensure all equipment and infrastructure are operational and well maintained.
- Coordinate preventive maintenance activities.
Compliance & Documentation
- Ensure compliance with hospital policies, SOPs, and regulatory requirements.
- Maintain operational documentation and records.
- Support audits, inspections, and quality improvement initiatives.
Reporting & Performance Monitoring
- Prepare daily, weekly, and monthly operational and revenue reports.
- Analyze operational and financial KPIs.
- Present performance insights and recommendations to management.
Qualifications
- Any degree
- 2–7 years of experience in healthcare operations, hospital administration, IVF, fertility, or specialty healthcare centers.
