Job Summary:
The Wedding Planner is responsible for planning, coordinating, and executing wedding events from initial client consultation to final event delivery. This role ensures client satisfaction through effective communication, budget management, vendor coordination, and flawless execution of wedding décor and logistics.
Key Responsibilities:
- Conduct initial consultations with clients to discuss wedding packages, type of wedding, and budget.
- Assist clients in planning entire weddings or specific wedding décor activities.
- Present suitable décor designs and concepts to clients.
- Analyze client requirements and execute décor accordingly.
- Assist team members in analyzing resources and gathering information from various sites.
- Obtain quotations from vendors and ensure budget changes are incorporated into wedding plans.
- Prepare PowerPoint presentations for client meetings.
- Prepare and share quotations after client meetings.
- Collect payments from clients for services provided.
- Discuss wedding logistics with clients and negotiate vendor contracts.
- Ensure smooth execution of wedding-day activities.
- Provide complete event-related information to clients.
- Manage each event from lead stage to execution while maintaining continuous client communication.
- Travel for business meetings as required.
- Create detailed timelines and floor plans.
- Maintain strong working relationships with vendors and venues.
- Conduct short-term and long-term planning for wedding events.
- Resolve guest complaints within authority or escalate to management when required.
- Ensure regular attendance and availability on weekends based on event schedules.
- Develop long-term client relationships through consistent communication and customer service.
- Plan and manage multiple events simultaneously.
- Monitor on-site production activities and supervise cleaning and wrap-up processes.
- Prepare checklists for all activities and ensure completion.
- Assign and plan tasks with team members before event execution.
- Perform any other duties assigned by management from time to time.
