We are looking for a responsible and practical HR Manager / HR Executive to handle recruitment, onboarding, staff documentation, attendance, leave management, payroll coordination, employee discipline, training support, and manpower deployment coordination for a Chennai-based multi-business group.
The candidate should be able to recruit staff for office, field, kitchen, security, manpower, BPO, recruitment, and service-related roles. The person should maintain proper employee records, support payroll, coordinate with operations, and ensure staff discipline across all business units.
Recruitment and Hiring
The HR person will be responsible for hiring staff for all business units.
Responsibilities include:
- Understand manpower requirements from management and business heads.
- Prepare job descriptions for different roles.
- Post job openings on job portals, WhatsApp groups, references, and social media.
- Source candidates for office, field, kitchen, security, manpower, sales, accounts, and admin roles.
- Screen resumes and conduct first-level interviews.
- Schedule interviews with management or department heads.
- Maintain candidate database.
- Negotiate salary as per company budget.
- Issue offer letters after management approval.
- Follow up with selected candidates until joining.
Onboarding and Documentation
The HR person must ensure proper joining formalities for every employee.
Responsibilities include:
- Collect employee documents before joining.
- Maintain physical and digital employee files.
- Complete joining forms and employee data sheet.
- Issue appointment letter after approval.
- Explain company rules, duty timing, leave policy, salary date, reporting structure, and code of conduct.
- Coordinate ID card, uniform, access, email, WhatsApp group, and work tools.
- Maintain emergency contact details.
- Ensure employee records are updated regularly.
Attendance, Leave and Duty Roster
The HR person should maintain proper attendance and shift records.
Responsibilities include:
- Maintain daily attendance for office staff, field staff, cafe staff, kitchen staff, and deployed manpower.
- Track late coming, absenteeism, leave, weekly off, overtime, and replacement duty.
- Prepare monthly attendance summary for salary processing.
- Coordinate with operations team for staff duty allocation.
- Maintain shift roster for cafe, cloud kitchen, security, and manpower staff.
- Inform management immediately if critical staff are absent.
- Arrange replacement staff where required.
Payroll Coordination
The HR person may not directly process final payroll, but must coordinate payroll properly.
Responsibilities include:
- Prepare monthly attendance report.
- Share salary input with accounts team.
- Track new joiners, exits, leave deductions, overtime, incentives, advances, and reimbursements.
- Maintain salary register.
- Coordinate payslip distribution, if applicable.
- Track salary-related complaints.
- Maintain employee bank details.
- Ensure salary data is approved by management before payment.
Employee Relations and Staff Discipline
The HR person should maintain staff discipline and resolve basic employee issues.
Responsibilities include:
- Handle employee queries and complaints.
- Maintain discipline in office, field, cafe, and client-site operations.
- Issue warning letters after management approval.
- Track repeated absenteeism, poor performance, misconduct, and complaints.
- Coordinate staff meetings.
- Support conflict resolution between staff and supervisors.
- Maintain resignation and exit records.
- Conduct exit formalities and collect company property.
Training and Induction
The HR person should coordinate basic training for staff.
Responsibilities include:
- Conduct basic induction for new employees.
- Explain company profile and business activities.
- Train staff on reporting format and daily responsibilities.
- Coordinate job-specific training with department heads.
- Arrange customer service training for cafe, cloud kitchen, and field staff.
- Arrange discipline and grooming training for security/manpower staff.
- Arrange compliance and communication training for recovery-related staff.
- Maintain training attendance records.
Pay: ₹20,000.00 - ₹40,000.00 per month
