Core Duties of an EXIM Officer (Export-Import Officer)
1) Documentation & Compliance
Main responsibility: Preparing and verifying all export/import documents.
- Prepare export/import documentation (Invoice, Packing List, Shipping Bill, Bill of Lading, etc.)
- Ensure compliance with government regulations and customs rules
- Maintain records of shipments and documentation
- Coordinate with CHA (Custom House Agent) and shipping lines
- Handle DGFT, customs, and port documentation
Common Documents Handled:
- Commercial Invoice
- Packing List
- Bill of Lading / Airway Bill
- Certificate of Origin
- Shipping Bill / Bill of Entry
2) Coordination with Logistics & Shipping
Main responsibility: Managing shipment movement smoothly.
- Coordinate with freight forwarders, transporters, and shipping companies
- Arrange dispatch and delivery schedules
- Track shipments and update internal teams or customers
- Resolve delays, shortages, or shipment issues
- Monitor container loading/unloading
3) Customs Clearance & Regulatory Work
Main responsibility: Ensuring legal clearance of goods.
- Work with customs authorities for clearance
- Ensure duty payment and compliance with import/export policies
- Handle inspection and clearance procedures
- Stay updated with customs rules and trade regulations
4) Vendor & Client Communication
Main responsibility: Managing communication with stakeholders.
- Communicate with overseas clients and suppliers
- Negotiate shipment terms and delivery timelines
- Provide shipment status updates
- Handle queries related to export/import orders
5) Record Keeping & Reporting
Main responsibility: Maintaining accurate operational data.
- Maintain shipment and inventory records
- Prepare export/import reports for management
- Track costs, duties, and logistics expenses
- Maintain MIS and compliance records
