1. Core ResponsibilitiesInventory & Warehouse Management
- MSL Maintenance: Establishing and maintaining Minimum Stock Levels (MSL) for fast-moving items (filters, brake pads, lubricants) and critical LCV components (clutch plates, suspension leaf springs).
- SAP/DMS Proficiency: Managing the entire lifecycle of parts—from ordering and receiving to invoicing—using Ashok Leyland’s Dealer Management System (DMS) or SAP modules.
- Stock Accuracy: Conducting perpetual and annual physical audits to ensure zero stock discrepancy.
- Obsolescence Control: Monitoring slow-moving and non-moving inventory to prevent capital blockage and "dead stock."
Sales & Revenue Growth
- Secondary Sales: Driving "Retail Sales" by supplying genuine Leyparts to local retailers, garages, and independent service hubs.
- Workshop Support: Coordinating with the Service Manager to ensure 100% parts availability for "Paid" and "Warranty" repair jobs, aiming for a high Fill Rate.
- Marketing & Schemes: Implementing Ashok Leyland’s HO (Head Office) schemes, such as loyalty programs for mechanics or seasonal discounts on specific kits.
Relationship Management
- Vendor & HO Liaison: Coordinating with Ashok Leyland warehouses and regional distributors for timely replenishment, especially for "Emergency Orders" (VOR).
- Customer Satisfaction: Managing counter sales and resolving customer or fleet-owner queries regarding part compatibility and pricing.
- DWE Management: Supervising Dealer Workshop Executives (DWE) or "Feet on Street" staff who visit fleet customers to generate parts demand.
2. Key Performance Indicators (KPIs)
A Spares Manager in this segment is usually evaluated on:
- Fill Rate: Percentage of parts supplied immediately against total demand.
- Inventory Turnover Ratio: How quickly the stock is sold and replaced.
- VOR Reductions: Reducing the time a vehicle stays in the workshop due to part unavailability.
- Parts Maturity Index (PMI): An internal Ashok Leyland metric that measures how well the parts department adheres to brand standards.
3. Required Qualifications & Skills
- Education: Graduate or Diploma in Automobile/Mechanical Engineering is highly preferred.
- Experience: 3–7 years in automotive spare parts management (preferably in the CV/LCV segment).
- Technical Knowledge: Familiarity with LCV aggregates (BS-VI engines, exhaust after-treatment systems like SCR/DEF filters, and transmission systems).
- Behavioral Skills: Strong negotiation skills for vendor management and the ability to work under pressure during peak service hours.
4. Typical Reporting Structure
- Reports to: General Manager (Dealership) or Territory Parts Manager (Ashok Leyland).
- Manages: Spare Parts In-charge, Storekeepers, Counter Sales Executives, and DWEs.
