Operations Executive – Service & AMC

Location: Ideal Colony, Kothrud

Department: IT Support & Hardware Services

Position Overview

We are looking for an organised and proactive operations executive to oversee our daily IT service operations, field engineer workflows, and client service lifecycles. In this role, you will be the central coordinator, ensuring seamless dispatch, spare parts tracking, job sheet documentation, billing coordination, and Annual Maintenance Contract (AMC) administration.

Key Responsibilities

Service Dispatch & Monitoring: Create, assign, prioritise, and track service tickets for field engineers, ensuring prompt response times and SLA adherence.
Daily Workflow Tracking: Monitor engineer updates via communication channels and daily job sheets; post regular morning/evening status updates for all active service requests.
Parts & Material Control: Issue spare parts and materials to technicians, maintain sign-out logs, and ensure proper return/accounting of unused or replaced items.
Documentation & Verification: Inspect completed job sheets, confirm customer signatures and work satisfaction, and verify all required documentation before marking tickets as closed.
Escalation & Aging Management: Identify and actively track long-pending or stalled tickets, coordinating with technical leads to expedite resolution.
Customer & Vendor Coordination: Communicate with clients regarding repair estimates, quotation approvals, job confirmations, and billing/payment collection status.
AMC Management: Maintain the AMC customer database, schedule quarterly/preventative maintenance visits, track renewal timelines, and conduct basic service performance analyses.
Rental & Asset Tracking: Manage rental laptop inventories, log dispatch/return dates, and maintain accurate records of company rental assets.

Required Skills & Qualifications

Education: Bachelor’s degree in business administration, commerce, information technology, or a related field.
Experience: [1–3+ years] in service operations, field service coordination, or back-office administration (IT service/hardware industry preferred).
Technical Skills: Proficiency in MS Excel/Google Sheets, ticketing systems/CRM tools, and basic inventory tracking workflows.
Core Competencies:
- Strong coordination, follow-up, and multitasking skills.
- Clear verbal and written communication for client and vendor interactions.
- Close attention to detail for documentation and signature verification.
