About the Role
We are looking for a highly organized and detail-oriented Admin & Document Management Executive to support day-to-day administrative operations and maintain efficient document management systems across the organization.
The ideal candidate should have excellent documentation skills, strong proficiency in Microsoft Office, and the ability to manage both digital and physical records with accuracy and confidentiality.
Key ResponsibilitiesDocument Management
- Create, format, edit, and proofread professional business documents, reports, letters, meeting minutes, presentations, and policies.
- Maintain digital document repositories using SharePoint and OneDrive with proper folder structures, naming conventions, version control, and access management.
- Organize and maintain physical files, registers, archives, and confidential documents.
- Support digitization and archival of legacy records.
- Ensure proper document indexing, retrieval, and storage practices.
Administrative Support
- Manage calendars, meetings, appointments, and conference room schedules.
- Prepare meeting agendas, presentations, and record minutes of meetings.
- Handle correspondence, courier management, office supplies, travel coordination, and vendor communication.
- Maintain office records, trackers, and administrative reports.
- Support employee onboarding documentation and maintain HR-related records.
- Coordinate with HR, Finance, IT, and other internal teams for administrative activities.
Reporting & MIS
- Prepare Excel trackers, dashboards, and MIS reports.
- Maintain databases and administrative records with high accuracy.
- Monitor action items and follow up with stakeholders to ensure timely completion.

Qualifications

- 1–4 years of experience in Administration, Executive Assistance, Office Coordination, or Document Management.
- Strong command of written and spoken English.
- Proficiency in Microsoft Office applications.
Preferred Skills
- Experience managing SharePoint document libraries.
- Knowledge of document version control and metadata management.
- Experience with physical filing systems and record management.
- Familiarity with Mail Merge, OneDrive, and Microsoft Teams.
