To lead and manage the Export Logistics & Documentation function by ensuring timely execution of export shipments, regulatory compliance, cost optimization, process excellence, and customer satisfaction while supporting the organization's business growth.
1. Export Logistics Management
- Lead end-to-end export logistics operations for air, sea, courier, and road shipments.
- Ensure timely shipment planning and execution as per customer delivery commitments.
- Monitor shipment performance and proactively resolve logistics bottlenecks.
2. Export Documentation & Compliance
- Ensure 100% accurate and timely preparation of export documentation, including Commercial Invoices, Packing Lists, Shipping Bills, Certificates of Origin (Preferential & Non-Preferential), LUT declarations, and other statutory documents.
- Ensure full compliance with Customs, SEZ, DGFT, GST, RBI, FEMA, and importing country regulations.
- Minimize documentation errors, amendments, and compliance risks.
3. Freight & Logistics Cost Optimization
- Develop logistics strategies to optimize freight costs without compromising delivery commitments.
- Lead freight negotiations with airlines, shipping lines, courier companies, and freight forwarders.
- Monitor freight trends and identify cost-saving opportunities.
4. Customs & SEZ Operations
- Build and maintain effective relationships with Customs, SEZ authorities, CHAs, and logistics partners.
- Ensure smooth Customs clearance and timely resolution of operational issues.
- Drive compliance with all statutory and SEZ requirements.
5. Process Improvement & Digitalization
- Standardize export documentation and logistics processes through SOPs and automation.
- Drive ERP utilization and digital documentation initiatives.
- Identify and implement continuous improvement projects to enhance efficiency and reduce turnaround time.
6. Stakeholder Management
- Collaborate with Sales, Merchandising, Production, Warehouse, Finance, Purchase, and Quality teams to ensure seamless shipment execution.
- Act as the single point of contact for logistics-related escalations.
- Maintain strong relationships with overseas customers and logistics service providers.
7. Risk Management
- Identify operational, documentation, and regulatory risks and implement preventive controls.
- Ensure timely resolution of shipment delays, Customs queries, insurance claims, and customer complaints.
- Maintain business continuity during operational disruptions.
8. Team Leadership & Development
- Lead, mentor, and develop the Export Logistics & Documentation team.
- Allocate responsibilities, monitor performance, and drive capability building.
- Foster a culture of accountability, compliance, and continuous improvement.
9. MIS & Performance Monitoring
- Develop dashboards and MIS reports for shipment status, freight costs, transit times, compliance, and service levels.
- Review key performance indicators and implement corrective actions where required.
10. Strategic Initiatives
- Support expansion into new international markets by ensuring logistics readiness and compliance.
- Evaluate and onboard new logistics partners to improve service levels and optimize costs.
- Lead special projects related to export logistics, trade facilitation, and supply chain transformation.
