Job Description – Commercial Executive

Job Purpose
To manage the organization’s commercial operations by ensuring timely procurement, vendor coordination, inventory control, logistics support, cost optimization, and compliance with company policies and statutory requirements. The role is responsible for maintaining uninterrupted material availability while achieving quality, cost, and delivery objectives.
Key Responsibilities1. Procurement & Purchasing
· Procure raw materials, packaging materials, consumables, spare parts, and general items as per approved purchase requisitions.
· Obtain quotations from suppliers, compare prices, negotiate commercial terms, and prepare comparative statements.
· Issue Purchase Orders (POs) and ensure timely delivery of materials.
· Develop and maintain a reliable supplier base.
2. Vendor Management
· Identify, evaluate, and onboard new vendors.
· Maintain vendor performance records based on quality, cost, and delivery.
· Coordinate with suppliers regarding deliveries, shortages, quality issues, and payment status.
· Conduct periodic vendor performance reviews.
3. Inventory & Stores Coordination
· Coordinate with stores to maintain optimum inventory levels.
· Monitor stock levels and initiate procurement to prevent shortages.
· Verify material receipts against purchase orders and invoices.
· Support stock verification and inventory reconciliation.
4. Logistics & Transportation
· Coordinate inbound and outbound transportation.
· Arrange vehicles for material movement and finished goods dispatch.
· Monitor freight costs and optimize transportation expenses.
· Ensure timely dispatch and delivery of materials.
5. Invoice & Payment Coordination
· Verify supplier invoices with Purchase Orders and Goods Receipt Notes (GRNs).
· Coordinate with the Finance department for timely payment processing.
· Resolve invoice discrepancies with suppliers.
· Maintain commercial documentation for audit purposes.
6. Cost Control
· Monitor procurement costs and identify cost-saving opportunities.
· Support annual rate contracts and commercial negotiations.
· Prepare cost comparison reports and purchase analyses.
7. Documentation & Compliance
· Maintain purchase orders, contracts, quotations, invoices, and vendor records.
· Ensure compliance with company policies and statutory requirements.
· Support internal, external, customer, and statutory audits by providing commercial records.
· Maintain confidentiality of commercial information.
8. Coordination
· Coordinate with Production, Planning, Quality, Stores, Finance, and Logistics departments.
· Ensure uninterrupted material availability for production.
· Follow up with suppliers to meet delivery commitments.
9. Reporting
· Prepare procurement reports, pending PO reports, supplier performance reports, and cost analysis reports.
· Maintain procurement MIS and monthly commercial dashboards.
· Submit periodic reports to management.
Qualification
· Bachelor’s Degree in Commerce (B.Com), Business Administration (BBA), Supply Chain Management, or Engineering.
· MBA (Operations/Supply Chain) is preferred.
· 2–5 years of experience in commercial, procurement, purchasing, or supply chain functions in a manufacturing environment.
