Job Summary:
The Personal Assistant (P.A.) to the Principal will provide comprehensive administrative, secretarial, and coordination support to the Principal. The role requires excellent organizational skills, confidentiality, professional communication, and the ability to manage multiple responsibilities efficiently. The P.A. will act as a liaison between the Principal, staff, parents, students, and external stakeholders, ensuring the smooth functioning of the Principal's office.
Key Responsibilities:Administrative & Secretarial Support
- Manage the Principal's daily schedule, appointments, meetings, and calendar.
- Screen, prioritize, and handle incoming correspondence, emails, phone calls, and visitors.
- Draft, type, edit, and maintain official letters, circulars, reports, notices, and presentations.
- Maintain confidential records, files, and documents with utmost discretion.
- Organize and coordinate meetings, prepare agendas, record minutes, and ensure follow-up actions.
Communication & Coordination
- Serve as the primary point of contact for communication between the Principal and staff, parents, students, management, and external agencies.
- Coordinate with various departments to collect information, reports, and data as required by the Principal.
- Facilitate effective communication and ensure timely dissemination of information.
Documentation & Record Management
- Maintain accurate records of meetings, correspondence, approvals, and official communications.
- Prepare and compile reports, presentations, and statistical data for review by the Principal.
- Ensure proper filing and retrieval of documents, both physical and digital.
Event & Meeting Management
- Assist in planning and coordinating school events, management meetings, inspections, and official visits.
- Arrange logistics, hospitality, and documentation for meetings and events involving the Principal.
- Coordinate with internal teams to ensure smooth execution of school functions.
Office Administration
- Monitor office supplies and administrative requirements for the Principal's office.
- Ensure efficient management of office records and administrative processes.
- Handle travel arrangements, bookings, and itineraries for official purposes, if required.
Follow-up & Compliance
- Track deadlines, assignments, and action points assigned by the Principal.
- Follow up with departments regarding reports, submissions, and implementation of directives.
- Ensure timely completion of administrative tasks and compliance with school policies.
Qualifications:
- Bachelor's Degree in Administration, Management, Commerce, Education, or a related field.
- Additional certification in Office Administration, Secretarial Practice, or Computer Applications will be an added advantage.
Experience:
- Minimum 3–5 years of experience as a Personal Assistant, Executive Assistant, Administrative Officer, or similar role.
- Experience in an educational institution will be preferred.
