Job Title: Executive Assistant cum Admin to Director
Key Responsibilities:1. Executive Support
- Manage the Director’s calendar, appointments, meetings, and travel arrangements (domestic & international).
- Act as the point of contact between the Director and internal/external stakeholders.
- Prepare agendas, minutes of meetings, and follow-up on action items.
- Handle confidential documents, ensuring they remain secure and properly filed.
- Coordinate communication—screen and direct calls, emails, and requests appropriately.
2. Administrative Support
- Oversee day-to-day office operations and ensure smooth administrative functioning.
- Maintain office supplies inventory and place orders as needed.
- Liaise with vendors, service providers, and office maintenance services.
- Manage filing systems, records management, and document archiving for the Director’s office.
3. Travel & Event Coordination
- Plan and coordinate travel logistics including tickets, accommodations, and itineraries.
- Assist in organizing internal/external meetings, conferences, or company events.
- Arrange hospitality, transportation, and guest coordination for office visitors.
4. Reporting & Documentation
- Prepare presentations, reports, and business correspondence as per the Director’s instructions.
- Track key business metrics and maintain dashboards/reports for leadership review.
- Handle documentation related to confidential projects, board meetings, and strategic initiatives.
5. Interdepartmental Coordination
- Act as a liaison between the Director and other departments to ensure timely communication.
- Support HR/Admin tasks as required, such as onboarding/offboarding coordination or facility management.
- Assist in implementing company policies and procedures at the administrative level.
Desired Skills & Qualifications:
- Graduate in any discipline (MBA/PG in Administration preferred).
- 2–6 years of experience as Executive Assistant or Administrative Officer.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Discretion and confidentiality are a must.
- Ability to handle high pressure and urgent requests with professionalism.
