Accounts Responsibilities
- Maintain day-to-day accounting records in Tally/ERP software.
- Prepare and record sales invoices, purchase bills, payment vouchers, and receipt vouchers.
- Process vendor payments and follow up for customer receivables.
- Reconcile bank accounts, cash book, and ledger accounts on a regular basis.
- Maintain petty cash and prepare cash statements.
- Prepare GST data, TDS data, and other statutory records for timely compliance.
- Coordinate with the Chartered Accountant for GST returns, TDS returns, Income Tax matters, and annual financial statements.
- Maintain records of purchase orders, work orders, invoices, and payment receipts.
- Generate MIS reports, outstanding payment reports, and monthly financial summaries.
- Verify employee reimbursements, salary records, and statutory deductions.
- Maintain proper filing of all financial documents for audit purposes.
Office Administration Responsibilities
- Manage day-to-day office administration and ensure smooth office operations.
- Maintain office files, records, registers, and document management systems.
- Coordinate procurement of office supplies, stationery, and office equipment.
- Monitor housekeeping, maintenance, and office infrastructure.
- Coordinate travel arrangements, hotel bookings, and logistics whenever required.
- Maintain attendance records, leave records, and employee documentation.
- Coordinate with vendors, service providers, and government departments for routine administrative work.
- Ensure confidentiality and proper safekeeping of company documents.
Correspondence Responsibilities
- Draft professional letters, emails, notices, and official communications.
- Handle all inward and outward correspondence with government departments, clients, vendors, and consultants.
- Prepare covering letters for tender submissions, proposals, invoices, and project documents.
- Follow up with clients and government departments regarding invoice payments, approvals, work orders, and project-related communications.
- Maintain records of all incoming and outgoing correspondence.
- Coordinate meetings, prepare meeting minutes, and circulate action points.
- Respond to routine client queries through email and telephone in a professional manner.
- Maintain proper documentation of official communications for future reference.
Additional Responsibilities
- Assist management in tender documentation and contract administration.
- Maintain confidentiality of financial and business information.
- Perform any other accounts, administrative, or coordination duties assigned by the management.
- Ensure compliance with company policies and applicable statutory requirements.
Pay: ₹15,416.33 - ₹58,099.19 per month
