Position Summary
We are seeking a highly organised, tech-savvy, and proactive Management Assistant to the CEO who will provide high-level administrative and strategic support. The role requires excellent communication, strong drafting skills, and the ability to handle confidential business matters with utmost professionalism and discretion.
Key Responsibilities
Executive Support
Manage the CEO’s calendar, meetings, and appointments
Coordinate internal and external meetings, including scheduling and follow-ups
Prepare meeting agendas, Minutes of Meeting (MOM), and track action points
Communication & Drafting
Draft professional emails, letters, and official communications on behalf of the CEO
Handle correspondence with clients, vendors, and internal stakeholders
Ensure clear, concise, and professional communication
Coordination & Follow-ups
Act as a bridge between the CEO and various departments
Track tasks, deadlines, and key deliverables across teams
Ensure timely follow-up and closure of assigned actions
Documentation & Confidential Handling
Prepare reports, presentations, and MIS
Maintain confidential files, records, and sensitive business information
Handle strategic documents, agreements, and internal communications with discretion
Logistics & Administrative Coordination
Manage travel arrangements (flights, hotels, transport) for the CEO
Coordinate logistics for meetings, events, and client visits
Oversee office-level coordination related to CEO activities (meeting rooms, arrangements, etc.)
Ensure smooth execution of day-to-day administrative and logistical requirements
Tech & System Handling
Use MS Office (Excel, PowerPoint, Word) and ERP systems efficiently
Maintain trackers, dashboards, and digital documentation
Support digital processes and workflow improvements
Key Skills Required
Excellent English communication (written & verbal)
Strong drafting skills (emails, reports, official communication)
Tech-savvy with strong command over MS Office tools
High level of confidentiality and integrity
Strong organizational and multitasking skills
Qualification & Experience
Graduate (MBA or relevant qualification preferred)
Minimum 4+ years of experience as Executive Assistant / Personal Assistant
Prior experience working with senior leadership is preferred
