Job Purpose
We are looking for an experienced Real Estate (RE) Data Operations Supervisor to lead a dedicated team of 10-15 analysts across India and China. This is a senior, client-facing role created as part of a scope expansion that transfers selected Data Quality (DQ) review, DQ portal execution, and escalation-preparation activities from our institutional client to our delivery team based out of Gurugram.
The Supervisor will be the day-to-day operational owner of the quarterly RE submission cycle — ensuring ~1,000 quarterly RE submissions are received on time, ~20,000 data flags are triaged and resolved, and ~4,000 partner queries per quarter are addressed within a 3-day SLA, all in support of the client's quarter-end (QE) reporting timeline.
This role requires a combination of real estate investment data expertise, large-scale data operations experience, and strong people leadership in an outsourced institutional delivery environment.
Key Responsibilities
1. Submission Cycle Management
- Own the quarterly submission tracker and ensure on-time receipt of all 1000 RE submissions across Directs, Funds, and Credit/Debt.
- Supervise overdue-submission follow-ups (3x weekly cadence) and failed-submission rework with client’s Data Partners.
- Co-ordinate with client teams to track and resolve system bugs affecting submissions.
- Prepare the weekly escalation pack summarizing overdue items, top blockers, and recommended escalations; deliver error-free to the client by stipulated date & time each week
2. Data Quality (DQ) Review & Portal Management
- Manage DQ portal execution: run all required validation rules across RE asset classes (Directs, Funds, Credit, Debt) and ensure follow-through to completion of all ~20,000 quarterly data flags.
- Perform L1/L2 Checker review of DQ responses prepared by analysts — ensure responses are accurate, well-evidenced, and consistent with the client's DQ rule intent before release.
- Onboard and distribute new DQ tasks to the existing analyst team.
- Track DQ resolution turnaround, identify systemic issues, and feed observations back to the client for DQ rule effectiveness evaluation.
- Identify automation and process-improvement opportunities targeting a ~10% efficiency gain on DQ portal execution.
3. Query Management
- Supervise analyst handling ~4,000 quarterly partner queries and ensure resolution within the 3-business-day SLA in support of QE reporting.
- Monitor query trends, surface recurring themes to the client, and maintain an internal knowledge base / FAQ to reduce repeat queries cycle-on-cycle.
- Personally handle complex queries requiring heavy judgment or deep domain knowledge; escalate to client only where their specific investment context is required.
4. Partner Onboarding & Engagement
- Oversee onboarding of new partners - identification, tool setup, partner outreach, and walk-through calls (where necessary).
- Ensure handover packs, access setup, and training materials are prepared to the client's standard before each onboarding call.
5. Team Leadership & Governance
- Line-manage ~10–15 Acuity analysts, workload allocation, capacity planning across QE peaks, performance management, and coaching.
- Operate a robust Maker–Checker discipline across all submission and DQ activities; act as the named Checker for all in-scope items.
- Maintain SLA, KPI, and AAR (after-action review) reporting; participate in weekly governance calls with the client team consistent with client expectations.
- Train new joiners within 1–2 months of their joining and provide backup coverage during team absences.
- Ensure all process changes and SOPs are updated and communicated to all team members in a timely manner.
- Support the transition to the client's managed data services vendor as and when required.
- Track and update issues, SLA, and KPIs as part of quarterly QBR reporting.
Key Competencies:
1. Essential
- MBA (or an equivalent degree) in Finance, Accounting, Economics, Business, or a related discipline from a top-tier business school
- 10-12 years of relevant experience, with a minimum of 4-5 years in a supervisory or team-lead capacity in real estate data operations, fund services, or investment data management.
- Demonstrated experience supervising data management, collection, and validation processes at scale - preferably in an outsourced or captive delivery model serving an asset manager, sovereign wealth fund (SWF), pension fund, or large LP with global coverage.
- Working knowledge of real estate investment data and asset data: NAV, valuations, financials, operational metrics, capital activity, debt facilities, fund vs. direct vs. credit structures.
- Experience managing a cross-geography team (India and/or China preferred).
- Strong Excel skills; comfort with data-quality tooling and reporting dashboards (Power BI, Tableau, or equivalent).
- Excellent written and spoken English; ability to communicate confidently with client investment professionals and external EIPs.
2. Desirable
- Exposure to real estate data platforms such as MRI, Yardi, eFront, Anaplan, RealPage, Cherre, or equivalent.
- Experience supporting end-to-end data management or reporting cycles for an institutional investor — real estate focus preferred.
- Basic SQL or Python knowledge to support data validation work.
- Familiarity with MAS (Monetary Authority of Singapore) regulatory and governance expectations in the context of data operations.
