Oval Immigration Services Ltd. is a CICC-regulated Canadian immigration consultancy located in Lethbridge, Alberta, Canada. We are seeking a highly organized and detail-oriented Client File Management Specialist to provide administrative and documentation support to our Canadian immigration practice.
The successful candidate will be responsible for organizing client files, collecting and reviewing documents, maintaining accurate records, monitoring deadlines and communicating with clients.
In addition to client file management, the successful candidate will assist with researching Canadian immigration updates and preparing daily social media content.
Key Responsibilities
Client File Management
- Create, organize and maintain electronic client files.
- Collect documents and information from clients.
- Review submitted documents for completeness, clarity and consistency.
- Prepare document checklists and follow up on missing information.
- Rename, classify, merge and organize PDF documents.
- Enter client information accurately into immigration forms, templates and internal systems.
- Draft routine emails, letters and client follow-up messages.
- Maintain file notes, task lists and application timelines.
- Monitor deadlines and provide timely reminders.
- Coordinate with clients through email, telephone and messaging platforms.
- Assist with the administrative preparation of immigration applications under the supervision of the RCIC.
- Maintain complete confidentiality of all client and business information.
- Perform other related administrative duties as assigned.
Social Media Support
- Research the latest Canadian immigration news, IRCC updates, Express Entry draws, Provincial Nominee Programs and other immigration developments.
- Identify relevant immigration topics and discuss content ideas with the RCIC.
- Prepare engaging social media content, including posts, captions and simple visual content, for review and publication.
- Assist in maintaining a consistent online presence and company branding.
- Maintain an organized library of social media content and related resources.
Required Qualifications
- Excellent written and spoken English.
- Fluency in Punjabi and/or Hindi.
- Strong computer skills, including Microsoft Word, Excel, Outlook, Google Drive and PDF software.
- Experience creating social media content for a business or professional organization is an asset.
- Excellent attention to detail and document-management skills.
- Strong organizational and time-management abilities.
- Ability to follow instructions, checklists and established procedures.
- Ability to work efficiently, follow instructions and manage multiple priorities.
- Reliable computer, high-speed internet and a quiet workspace.
- Ability to handle confidential information professionally.
- Willingness to work hours that overlap with Canadian Mountain Time.
Preferred Qualifications
- Previous experience in administration, customer service, documentation, or social media is an asset but not required.
- Strong attention to detail and willingness to learn new skills.
- Excellent written communication and organizational skills.
- Basic knowledge of Canadian immigration or an interest in learning about the industry is an asset.
- Basic knowledge of AI tools such as ChatGPT to improve productivity and content creation is an asset.
Important Note
This is an administrative support position. The successful candidate will work under the supervision of a Regulated Canadian Immigration Consultant (RCIC) and will not provide immigration advice, assess client eligibility, represent clients or make independent decisions regarding immigration strategy.
Compensation
- Salary: ₹20,000 – ₹25,000 per month
