Vendor Executive – Jewellery Showroom
Job Purpose:
The Vendor Executive is responsible for managing relationships with jewellery vendors/suppliers, coordinating purchases and deliveries, maintaining vendor records, ensuring quality and timely supply, and supporting the showroom's procurement requirements.
Key Roles & Responsibilities
- Vendor Management
- Identify and coordinate with jewellery manufacturers, suppliers, and other vendors.
- Maintain strong professional relationships with existing vendors.
- Follow up with vendors regarding orders, deliveries, payments, and pending issues.
- Negotiate prices, making charges, delivery schedules, and other commercial terms.
- Purchase & Order Coordination
- Coordinate jewellery purchase orders as per showroom requirements.
- Ensure the correct quantity, design, purity, weight, and specifications are received.
- Track purchase orders from placement to final delivery.
- Coordinate with the purchase, accounts, inventory, and showroom teams.
- Jewellery Quality & Documentation
- Check received jewellery against purchase orders and vendor invoices.
- Verify product details such as gross weight, net weight, purity, stones, hallmark/HUID, making charges, etc., as applicable.
- Ensure proper documentation is received along with jewellery consignments.
- Report discrepancies, quality issues, shortages, or damages to the concerned vendor.
- Inventory & Stock Coordination
- Coordinate with the inventory team for inward and outward movement of jewellery.
- Maintain proper records of vendor-supplied stock.
- Monitor pending deliveries and replacement/repair items.
- Support stock reconciliation between vendor records and showroom records.
- Vendor Bills & Payments
- Collect and verify vendor invoices and supporting documents.
- Coordinate with the accounts department for payment processing.
- Track outstanding vendor payments and resolve billing discrepancies.
- Ensure vendor credit/debit notes are properly recorded.
- Returns, Repairs & Replacements
- Coordinate jewellery returns, exchanges, repairs, and replacements with vendors.
- Maintain records of items sent to vendors and expected return dates.
- Follow up regularly to ensure timely closure.
- Vendor Performance
- Monitor vendor performance based on quality, pricing, delivery timelines, service, and reliability.
- Maintain vendor-wise performance records.
- Escalate repeated quality, delivery, or commercial issues to management.
- MIS & Reporting
- Prepare daily/weekly/monthly vendor reports.
- Maintain records of purchase orders, pending orders, deliveries, returns, repairs, and payments.
- Provide management with updates on vendor performance and pending requirements.
Key Skills Required
- Good communication and negotiation skills
- Knowledge of jewellery products and terminology
- Understanding of gold/silver purity, weight, hallmarking and HUID is an advantage
- Vendor relationship management
- Basic knowledge of inventory and purchase processes
- MS Excel and ERP/SAP knowledge
- Good follow-up and coordination skills
- Strong attention to detail
- Ability to handle multiple vendors and orders

Pay: ₹20,000.00 - ₹30,000.00 per month
