THE OPPORTUNITY
An exciting opportunity exists for an enthusiastic professional to join Kshamata, a Thane-
based non-profit. We are seeking a dynamic and motivated Fundraising Associate to
support the resource mobilisation and donor engagement efforts of the organisation at a
pivotal time of growth and expansion.
As a Fundraising Associate, you will play a vital role in executing fundraising campaigns,
managing donor databases, and supporting the leadership team in securing grants and retail
donations.
THE POSITION
The Fundraising Associate will primarily focus on supporting donor research, executing retail
and online fundraising campaigns, maintaining the prospect database, and assisting with
donor stewardship and follow-ups. This role provides an excellent opportunity to learn the
ins and outs of NGO fundraising while working closely with the senior management and
Trustees.
KEY ROLES & RESPONSIBILITIES
Research & Database Management
Assist in identifying prospective corporate (CSR), institutional, and individual donors.
Maintain, update, and manage a detailed prospect database and fundraising
pipeline.
Conduct background research on potential prospects to assess alignment with
Kshamata’s mission.
Log all interactions with prospects and ensure timely tracking of follow-up actions.
Retail & Campaign Fundraising Support
Help execute retail fundraising activities, crowdfunding campaigns, and online giving
platforms (e.g., Daan Utsav, marathons, and cause-related events).
Support the coordination and logistics of offline charity/fundraising events.
Assist in drafting communication materials, appeals, and updates for individual and
online donors.
Supporting Completion Of Online Funding Applications
Review guidelines on online grant portals and donor websites to check alignment
with Kshamata’s programs before initiating an application.
Collate and organize standard organizational documents required for online
registrations (e.g., 80G/12A certificates, trust deeds, annual reports, and financial
audits).
Assist in drafting standard narrative responses for online application forms, covering
Kshamata’s mission, vision, and program impact.
Gather operational metrics and quantitative data from the program teams to
accurately fill out target metrics required by online application portals.
Create and maintain profiles on various NGO listing and fundraising platforms,
keeping track of application login credentials and submission deadlines.
Donor Stewardship & Operations
Support the implementation of the donor stewardship calendar to ensure timely
touchpoints (thank-you notes, tax receipts, impact reports).
Assist in creating and dispatching regular donor communication to foster long-term
retention.
Maintain accurate internal documentation for donor relationships and compliance.
Coordination & Meeting Support
Coordinate schedules and set up meetings between prospective donors (CSR heads,
HR heads, Foundations) and Kshamata’s senior leadership.
Draft initial follow-up emails and meeting minutes, and track subsequent
deliverables.
Coordinating Donor Visits (Past, Current, And Prospective)
Coordinate dates, timelines, and local travel logistics for donor visits to Kshamata’s
shelter homes, training centres, or office headquarters.
Prepare concise briefing notes for the senior management team prior to the visit,
detailing the donor's background, history of support, or prospective funding areas.
Ensure all relevant marketing collaterals, project brochures, impact presentations,
and token-of-appreciation gifts are ready and available for the visitors.
Act as the primary internal coordinator during the visit to ensure smooth movement,
timely transitions between activities, and adherence to the itinerary.
Draft and send personalized thank-you emails to the visitors, compiling any
additional project data, photographs, or documentation requested during their visit.
COORDINATION OF IN-KIND DONATIONS
Act as the primary point of contact for individual and corporate donors offering
material goods, effectively matching their offers against Kshamata’s immediate
operational needs.
Coordinate the logistics, delivery schedules, and receipt of physical goods at
Kshamata’s centers, ensuring safe transit and proper storage.
Ensure every in-kind donor receives a timely acknowledgment letter, thank-you
note, and the necessary material receipt documentation.
Event support & coordination (gala events, charity fundraisers, & small gatherings)
Assist in coordinating with external vendors for event essentials, including venue
booking, catering, audio-visual setups, and printing of event materials.
Manage invitation lists for both large-scale gala events and intimate donor
gatherings, diligently tracking RSVPs and maintaining an updated guest database.
Support the team in drafting, designing, and dispatching event invitations, ticketing
details, and pre-event informational kits to prospective and current donors.
Provide on-site operational support during events, managing the registration desk,
welcoming high-net-worth individuals (HNIs) and corporate partners, and handling
material distribution.
Coordinate post-event acknowledgement workflows, ensuring all attendees,
sponsors, and volunteers receive thank-you communications and impact updates.
QUALIFICATIONS & EXPERIENCE
Qualifications:
Graduate/Postgraduate in Social Work, Communication, Business Administration
(Sales/Marketing), or a related field.
Experience:
2-3 years of experience in fundraising, sales, client relations, or a coordination role
within a non-profit or corporate environment (Freshers with strong internship
experience and a passion for social causes may be considered).
Basic understanding of the fundraising landscape in India (Retail giving, CSR, and
Foundations).
Prior experience in managing databases, CRM software, or basic data entry is
preferred.
Behavioural Skills & Competencies:
Strong written, verbal, and telephonic communication skills in English.
Proficiency in MS Office (Word, PowerPoint, and Excel) is essential.
Excellent organizational skills with the ability to manage timelines and adhere to
deadlines.
High energy, a willingness to learn, and the ability to take initiative on assigned tasks.
Strong interpersonal skills to build positive rapport with internal teams and external
stakeholders.
