Planning Assistant – Academic Coordination & Reporting
Position Summary
The Planning Assistant will support the effective implementation, monitoring, and
documentation of academic planning across all sections and subjects of the school.
The role involves maintaining systematic records of tasks, actions, milestones, and
achievements related to curriculum delivery, teacher planning, and academic
activities.
The Planning Assistant will work closely with the Central Planning Department and
ensure timely submission of consolidated monthly reports to the school leadership.
Key Responsibilities
Academic Planning Coordination
Coordinate with Heads of Sections, Subject Coordinators, and teachers
regarding academic plans and timelines.
Maintain updated records of:
o Annual curriculum plans
o Monthly and weekly plans
o Subject-wise progress
o Activities, projects, assessments, and enrichment programs
Track completion of planned academic tasks and action items across
sections.
Documentation Record Maintenance
Maintain systematic digital and physical records of:
o Teacher planning documents
o Academic targets and achievements
o Action taken reports
o Meeting minutes and follow-up actions
o Inter-departmental coordination records
Ensure proper filing and archival of planning-related documents.
Monitoring & Follow-Up
Follow up with teachers and coordinators regarding pending submissions,
updates, and action points.
Track implementation status of academic initiatives and institutional goals.
Identify delays or gaps in planning processes and escalate concerns
appropriately.
Coordination with Central Planning Department
Serve as the liaison between the school and the Central Planning
Department.
Ensure alignment of school-level academic planning with institutional
expectations and timelines.
Communicate updates, directives, templates, and reporting requirements to
relevant stakeholders.
Reporting & Analysis in coordination with the Principal
Prepare and submit monthly consolidated reports containing:
o Section-wise and subject-wise progress
o Key achievements and milestones
o Pending tasks and action plans
o Teacher participation and implementation updates
Generate summaries, dashboards, and data reports for leadership review.
Assist in preparing presentations and review documents for academic
meetings.
Administrative Support
Schedule and coordinate planning meetings and reviews.
Maintain confidentiality of institutional records and teacher documentation.
Support school leadership in academic audits, inspections, and planning
reviews.
Skills & Competencies
Strong organisational and documentation skills
Excellent written and verbal communication
Ability to coordinate with multiple stakeholders
Strong follow-up and time management abilities
Attention to detail and accuracy in reporting
Proficiency in Microsoft Office (Word, Excel, PPT) / Google Workspace,
Proficient in Microsoft Dashboards, ERP like MCB, use Microsoft graph
Ability to prepare structured reports and maintain databases
Professional discretion and confidentiality
Qualifications
Graduate degree in Education, Administration, Management, or related field
Prior experience in school administration, academic coordination, or planning
preferred
Familiarity with curriculum planning and school systems will be an advantage
Reporting Structure
Reports to: Academic Head / Principal / Central Planning Coordinator
Works closely with:
o Section Heads
o Subject Coordinators
o Teachers
o Central Planning Department
Key Deliverables
Accurate maintenance of academic planning records
Timely coordination and follow-up with staff
Monthly consolidated planning and achievement reports
Effective communication between school departments and Central Planning
