Job Summary:The receptionist is responsible for greeting and assisting visitors, answering and directing phone calls, managing appointments and reservations, and performing various administrative tasks to support the efficient operation of the office.
Key Responsibilities:
Greeting Visitors: Welcome and greet visitors with a warm and professional demeanor. Notify the appropriate staff member of their arrival.
Answering Phone Calls: Answer incoming calls, screen and transfer calls to the appropriate individuals or departments. Take messages accurately and relay them promptly.
Managing Front Desk: Maintain a clean and organized front desk area, ensuring it is well-stocked with necessary supplies and materials.
Appointment Scheduling: Schedule and manage appointments, meetings, and conference room reservations for employees and clients. Maintain appointment calendars.
Visitor Registration: Register visitors and issue visitor badges as required. Ensure that security and access procedures are followed.
Information Dissemination: Provide information to visitors and callers about the company, its services, and directions to various departments or offices.
Data Entry and Administrative Support: Perform various administrative tasks, including data entry, filing, photocopying, and faxing documents. Assist with basic clerical duties as needed.
Maintaining Records: Maintain and update contact lists, employee directories, and other relevant records. Ensure confidentiality of sensitive information.
Problem Solving: Handle inquiries, complaints, and requests courteously and professionally. Escalate issues to appropriate personnel when necessary.
Multitasking: Handle multiple tasks simultaneously, such as managing phone calls, welcoming visitors, and performing administrative duties efficiently.
Technology Proficiency: Utilize office equipment, such as computers, printers, photocopiers, and phone systems. Proficiency in using email and office software is often required.
