Job Title: Travel Desk Executive

Key Responsibilities:
- Flight and Hotel Arrangements:
- Booking: Arrange and confirm domestic and international flights, hotel accommodations, and ground transportation as per travel requirements.
- Changes and Upgrades: Manage changes, cancellations, and last-minute upgrades to ensure smooth travel experiences.
- Itineraries: Prepare and distribute comprehensive travel itineraries, including all booking confirmations and relevant details.
- Coordinate with travel agents for flight bookings, hotel reservations, visa requirements, cancellations, changes, and urgent travel requests.
- Travel Documentation and Visa Management:
- Documentation: Process and maintain travel documents such as itineraries, confirmations, and travel authorizations.
- Visa Assistance: Handle visa applications, renewals, and ensure compliance with travel regulations and company policies. Provide support in gathering required documents and completing application forms.
- Compliance: Ensure all travel documentation meets regulatory requirements and company standards.
- Invoice and Expense Management:
- Invoice Collection: Collect, review, and process invoices from airlines, hotels, and other travel service providers. Verify accuracy and ensure timely payments.
- Expense Reports: Review and manage travel expense reports submitted by employees. Ensure compliance with company policies and rectify discrepancies.
- Relationships: Build and maintain relationships with airlines, hotels, and other travel service providers to negotiate rates and secure favorable terms.
- Service Quality: Monitor and assess vendor performance, addressing any issues to ensure high standards of service and support.
- Assistance: Provide assistance with travel-related issues such as booking errors, delays, and changes. Offer support to travelers before, during, and after their trips.
- Special Requests: Address and accommodate special travel requests, including accessibility needs and unique preferences.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Hospitality Management, Travel & Tourism, or a related field is preferred.
- Experience: Minimum of 2-3 years of experience in travel coordination, including managing air travel, hotel bookings, and visa applications.
- Skills: Proficiency in travel management software and Microsoft Office Suite (Word, Excel, PowerPoint). Strong communication and interpersonal skills, excellent organizational skills with attention to detail, and ability to manage multiple tasks simultaneously.
Working Conditions: Working Days: Monday to Friday, Saturday (Work from Home – 5hours)
Working Hours: 10:00 AM – 6:30 PM
Compensation: Competitive, based on qualification and experience
