Hiring: Executive Assistant to Director

We are looking for an exceptional, highly organized, and proactive Executive Assistant to serve as a direct "shadow" and operational partner to our Director at our corporate office in Lal Kothi, Jaipur.
Position Overview
In this role, you will manage the Director’s schedule, executive communications, and high-level organizational priorities. You will act as the Director’s "shadow," ensuring smooth coordination across departments, government liaisons, and strategic initiatives—enabling leadership to focus on high-impact institutional growth and execution.
Key Responsibilities
- Build and manage dynamic daily, weekly, monthly, and annual work calendars. Prioritize critical tasks while maintaining operational flexibility.
- Organize internal leadership and external partner meetings. Prepare agendas, detailed background briefs, and meeting minutes with strict action-item tracking.
- Deeply understand the core processes, projects, team culture, and business philosophy of NIFA Infocomp. Protect the Director's focus by filtering out minor operational distractions.
- Draft, proofread, and edit outgoing executive communications, project proposals, press releases, and official correspondence.
- Coordinate domestic travel arrangements (flights, accommodations, transportation) and maintain detailed monthly travel summaries.
- Serve as a discreet gatekeeper, reviewing and managing confidential emails and sensitive corporate communications.
- Observe team dynamics and workplace health, providing insightful feedback to the Director and following up proactively on pending organizational issues.
Academic & Professional Qualifications
- Prior experience as an Executive Assistant, Personal Assistant, Chief of Staff, or similar executive-level support role.
- High proficiency in MS Office (Word, advanced Excel, PowerPoint, Outlook, MIS reporting) and web research.
- Demonstrated capability to leverage modern AI productivity tools (ChatGPT, Claude, task automation) for max efficiency.
- Exceptional documentation and verbal/written communication skills in both English and Hindi.
