About the Role:
We are seeking a highly organized, proactive, and detail-oriented professional to join our team as a Client Relations & Systems Coordinator. This position serves as the central coordination point between clients, internal teams, service departments, software systems, and management.
The role involves ensuring smooth execution of all services offered by the organization, maintaining client communication, tracking work progress, managing operational systems, coordinating internal teams, and ensuring that every assignment is completed efficiently and within timelines.
KEY RESPONSIBILITIES:
Client Relations & Communication:
- · Handle client communications, updates, follow-ups, and coordination across all services and departments.
- · Ensure timely communication of progress, deliverables, milestones, requirements, and next steps to clients.
- · Manage client onboarding, intake processes, documentation, and information collection.
- · Follow up with clients for pending documents, approvals, payments, instructions, and compliance requirements.
- · Schedule and coordinate meetings, calls, consultations, reviews, and project discussions.
- · Maintain professional communication standards across phone calls, emails, WhatsApp, CRM, and other communication channels.
- · Prepare client-facing reports, updates, summaries, presentations, and progress communications.
- · Ensure seamless flow of information between clients and internal teams.
- · Support management in maintaining efficient workflow systems and operational discipline.
CRM, Data & System Management
- · Maintain and update CRM systems with client information, communication records, project updates, and service history.
- · Ensure all client interactions, follow-ups, communications, and operational updates are properly recorded and retrievable.
- · Maintain operational databases, trackers, dashboards, and management reporting systems.
- · Generate daily, weekly, and monthly operational reports for management review.
- · Ensure data accuracy, completeness, consistency, and confidentiality across all systems.
- · Support implementation and maintenance of internal software platforms including CRM, document management systems, and workflow tools.
- · Maintain centralized document repositories across all service divisions.
- · Manage incoming and outgoing communications, notices, correspondence, and official documentation.
- · Track dispatch, receipt, acknowledgment, and record management of important communications.
- · Maintain digital archives and structured record retention systems.
- · Ensure secure access control and confidentiality of sensitive information and documents.
Eligibility
- Bachelor's Degree in any discipline.
- Strong communication and coordination skills.
- Excellent organizational and follow-up abilities.
- Good command of English & Malayalam and professional correspondence.
- Proficiency in Microsoft Office, Google Workspace, CRM systems, project management tools, or similar software.
- Ability to manage multiple tasks and priorities simultaneously.
- Experience in administration, operations, customer relations, legal support, project coordination, or business services will be an added advantage.
