The Receptionist cum Admin Executive is responsible for managing the front desk operations while providing administrative support to ensure the smooth functioning of the office. This role requires excellent communication skills, multitasking ability, and a professional demeanor.
Key Responsibilities:
Front Desk Management:
- Greet and welcome visitors in a courteous and professional manner
- Answer, screen, and forward incoming phone calls
- Maintain visitor records and issue visitor passes
- Handle incoming and outgoing mail, couriers, and deliveries
Administrative Support:
- Maintain office files, records, and documentation
- Assist in scheduling meetings, appointments, and conference room bookings
- Provide support in preparing reports, letters, and correspondence
- Manage office supplies inventory and place orders when necessary
- Drafting of letters, circulars, notices etc.
Office Coordination:
- Coordinate with vendors, service providers, and maintenance staff
- Ensure cleanliness and organization of the reception and office areas
- Support HR/admin tasks such as attendance tracking and onboarding assistance
Communication & Coordination:
- Act as a point of contact between employees, management, and external parties
- Assist in internal communication and coordination across departments
Qualifications & Skills:
- Bachelor’s degree or equivalent
- Proven experience in a similar role is preferred
- Proficiency in MS Office (Word, Excel, Outlook)
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Pleasant personality with a professional appearance
- Basic knowledge of office equipment (printers, scanners, EPABX systems)
