Saathi (saathivisa.com) manages visa applications end-to-end for founders and high-net-worth individuals. As Visa Operations Specialist, you own each client's case from document collection to final filing. You are the person who makes sure nothing is missed, nothing is late, and every application that leaves our hands is accurate and complete. Our clients are high-profile and time-poor — this role is built on precision, follow-through, and discretion.
What you'll do
- Collect required documents from clients and verify each one for accuracy, validity, and consistency across the file (names, dates, passport details, financials).
- Review complete application packets and catch errors or gaps before filing.
- Follow up persistently and professionally with clients to close missing pieces.
- Prepare supporting documents — cover letters, travel-purpose narratives, document checklists.
- Fill and submit visa applications on behalf of clients across relevant portals and consulates.
- Track deadlines and case status across multiple parallel applications with zero slippage.
- Flag risks or unclear requirements early and escalate when unsure rather than guessing.
- Maintain strict confidentiality of client passports, financial records, and personal data.
Who you are
- Meticulous by nature — you double-check your own work and catch mistakes others miss.
- Organized and reliable — you run on checklists and systems, not memory.
- Calm under pressure and comfortable holding a high-value client to "we'll get it right" over "we'll rush it."
- A clear, professional writer.
- Discreet and trustworthy with sensitive information.
Nice to have
- Experience in visa/immigration processing, paralegal, compliance, insurance underwriting, or another documentation-heavy filing role.
- Familiarity with visa portals for [US / UK / Schengen / UAE etc.].
