Job Overview
We are seeking a highly organized, proactive, and trustworthy Executive Assistant (EA) to provide comprehensive administrative and operational support to the Director. The ideal candidate will manage executive schedules, coordinate with internal and external stakeholders, and ensure the smooth execution of day-to-day business activities. This role requires exceptional organizational skills, professionalism, discretion, and the ability to thrive in a fast-paced environment.
Key ResponsibilitiesExecutive Calendar & Schedule Management
- Manage the Director's daily calendar, appointments, meetings, and business engagements.
- Coordinate domestic and international travel, including flight bookings, hotel reservations, transportation, and itinerary planning.
- Prioritize schedules and proactively resolve calendar conflicts.
Communication Management
- Serve as the primary point of contact between the Director and internal/external stakeholders.
- Screen and prioritize emails, phone calls, messages, and correspondence.
- Coordination & Follow-ups
- Track project timelines, action items, and deliverables across departments.
- Coordinate with team leaders and department heads to ensure timely completion of assigned tasks.
- Prepare regular status updates and follow-up reports for executive review.
Meeting Management
- Schedule and organize executive meetings, board meetings, and client discussions.
- Prepare meeting agendas, presentations, and supporting documentation.
- Attend meetings when required, record accurate Minutes of Meeting (MOM), and monitor follow-up actions.
Documentation & Confidentiality
- Maintain confidential executive files, company records, contracts, financial documents, and sensitive information with the highest level of discretion.
- Organize and maintain digital and physical documentation for quick retrieval and compliance.
Administrative Support
- Handle routine administrative responsibilities to improve executive efficiency.
- Coordinate office logistics and assist with personal or business-related tasks assigned by the Director when required.
- Support special projects and business initiatives as needed.
Qualifications
- Bachelor's degree in any
- 1–2 years of experience as an Executive Assistant, Personal Assistant, Administrative Executive, or in a similar support role.
Required SkillsTechnical Skills
- Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Hands-on experience with Google Workspace (Docs, Sheets, Calendar, Drive).
- Familiarity with business communication tools such as WhatsApp Business, email platforms, and virtual meeting applications.
Communication Skills
- Excellent verbal and written English communication skills.
