Role overview:
To act as the trusted right-hand and gatekeeper to the Managing Director, ensuring seamless management of their schedule, communications, and administrative responsibilities. The role is critical in protecting the MD’s time, enabling them to focus on strategic priorities while maintaining operational excellence across the organization.
Key Responsibilities:
- Calendar & Schedule Management: Proactively manage and optimize the MD’s calendar, including internal meetings, client engagements, board meetings, and personal commitments.
- Gatekeeping & Communication: Serve as the primary point of contact for all incoming calls, emails, visitors, and correspondence. Prioritize and respond to requests while exercising sound judgment and discretion.
- Documentation & Preparation: Draft high-quality emails, reports, presentations, and meeting minutes. Prepare comprehensive briefing materials and agendas ahead of all key meetings.
- Travel & Logistics Management: Plan and coordinate end-to-end domestic and international travel, including flight bookings, accommodations, visas, ground transportation, and detailed itineraries.
- Project Follow-up & Coordination: Track action items and deliverables across departments on behalf of the MD, ensuring timely follow-ups and progress updates to keep strategic initiatives on track.
Candidate profile:
- Experience: Minimum 2 - 3 years as an Executive Assistant or Personal Assistant supporting C-level executives / Managing Director.
- Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and strong digital tools adaptability.
- Communication: Excellent verbal and written communication skills with a professional, polished presence.
