We are looking for a motivated and detail-oriented Program Coordinator (Technical Operations) to support our operational excellence by ensuring the seamless execution of training programs, client coordination, and technical processes.
About the Role
The Program Coordinator (Technical Operations) will play a vital role in managing daily operational activities, coordinating with clients and internal teams, maintaining program documentation, and supporting technical workflows. This position requires excellent organizational skills, strong proficiency in Microsoft Office tools, effective communication, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
- Coordinate the end-to-end execution of training programs and operational activities.
- Act as the primary point of contact for clients, ensuring timely communication and effective issue resolution.
- Manage client requirements, schedules, and operational deliverables.
- Generate and distribute bulk certificates for training programs with accuracy and timeliness.
- Handle bulk email communications for participants, trainers, clients, and internal stakeholders.
- Prepare, maintain, and analyze operational reports, trackers, and databases using Microsoft Excel.
- Create and manage professional documentation, reports, letters, and templates using Microsoft Word.
- Coordinate with trainers and technical teams to ensure smooth program execution.
- Identify, document, and report technical issues or bugs, and follow up until resolution.
- Maintain accurate records of program activities, participant data, and operational documentation.
- Support onboarding, scheduling, assessments, and other program-related activities.
- Ensure adherence to operational processes, timelines, and quality standards.
- Assist in process improvement initiatives by leveraging automation tools wherever applicable.
- Perform additional operational and administrative responsibilities as assigned.
Required Skills
- Strong proficiency in Microsoft Excel (Advanced Formulas, Pivot Tables, VLOOKUP/XLOOKUP, Conditional Formatting, Data Validation, Charts, and Reporting).
- Excellent working knowledge of Microsoft Word for professional documentation and formatting.
- Experience handling bulk mailing and email communication.
- Knowledge of bulk certificate generation and document management.
- Basic technical understanding with the ability to identify and report software or process-related issues.
- Familiarity with automation tools such as Power Automate, Zapier, Make (Integromat), Google Apps Script, or similar workflow automation platforms.
- Strong client handling and stakeholder management skills.
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and time management abilities.
- High attention to detail with a proactive and solution-oriented mindset.
Eligibility
- Bachelor's degree in Engineering, Computer Science, Information Technology, BCA, MCA, B.Sc., B.Com., Business Administration, or any relevant discipline.
- Fresh graduates with strong technical aptitude and coordination skills are encouraged to apply.
- Internship or prior experience in operations, program coordination, administration, or technical support will be an added advantage.
