At Childhood Smiles, we believe every child deserves to love going to the dentist. You'll be the first face tiny patients and nervous parents see — and the warmth you bring sets the tone for the entire visit. This role blends front-office precision, empathetic communication, and hands-on management of our digital practice workflows in Practo Ray.
Responsibilities:
- Own the welcome. Greet every child and caregiver with a warm smile, manage check-ins, verify patient details, and ensure the waiting experience is calm and friendly.
- Schedule & coordinate. Manage appointments on Practo Ray — scheduling, rescheduling, appointment reminders, and maintaining an optimized daily calendar for the doctor.
- Digital patient registration. Complete patient onboarding via QR-code forms, collect consent, update EMR records, and ensure data accuracy in Practo Ray at all times.
- Billing & collections. Prepare invoices, collect consultation and treatment fees (including token advances for bookings), issue receipts, and maintain daily cash reconciliation reports.
- Handle inquiries with patience. Answer calls, WhatsApp messages, and walk-in queries from parents — explaining procedures, wait times, and treatment costs clearly and reassuringly.
- Open & close operations. Manage daily clinic opening/closing checklists, ensure the front area is clean and organized, and stock patient-facing materials (forms, brochures).
- Feedback & reviews. Nudge satisfied families to leave Practo/Google reviews and assist in collecting post-visit feedback to improve the clinic experience.
- Support clinical flow. Coordinate between the front desk and the dental team to keep the schedule running on time, communicate patient arrivals, and flag any delays proactively.
Requirements:
- Warm, patient, and genuinely comfortable around young children — you can calm a nervous 5-year-old and a worried parent with equal ease.
- Fluent in Kannada and English; working knowledge of Hindi is a plus. Clear communication is non-negotiable in a pediatric setting.
- Comfortable with clinic management software (Practo Ray experience is a strong advantage) and everyday tools like WhatsApp Business, Google Forms, and basic MS Excel/Sheets.
- Detail-oriented — minor errors in patient records or billing can have real consequences, so you take accuracy seriously.
- Calm under pressure when the waiting room is full and the phone is ringing — you can prioritize and multitask without losing your composure.
- Proactive — you notice what needs to be done without being asked, and you follow through.
- PUC / Diploma or above. A background in healthcare administration, front office management, or BBA is an advantage.
