Position Title: Senior Executive – Academic Operations & Student Affairs

Position Summary
The Senior Executive – Academic Operations & Student Affairs plays a pivotal role in delivering high-quality academic and student support services that enhance the overall student experience. This position is responsible for the effective coordination of student services, academic administration, student engagement initiatives.
Working collaboratively with students, faculty, and administrative departments, the incumbent ensures seamless operational delivery, timely student support and continuous improvement of student-facing processes. The role contributes significantly to student satisfaction, retention, progression, and engagement throughout the student lifecycle.
Key Responsibilities
Student Support & Success
- Serve as a primary point of contact for student support matters, ensuring timely and professional assistance.
- Coordinate referrals and access to student wellbeing, counselling, disability support, and academic assistance services.
- Assist in managing student complaints, grievances, appeals, and resolution processes in accordance with institutional policies.
- Contribute to programs and activities that promote student wellbeing, success, and engagement.
Academic & Student Administration
- Manage student enquiries and provide accurate guidance on academic procedures, and administrative requirements.
- Maintain and update student information systems, databases, and records with accuracy and confidentiality.
- Prepare official correspondence, student documentation, academic records, and administrative reports.
- Ensure compliance with institutional policies, regulatory requirements, and record-keeping standards.
Student Engagement & Campus Experience
- Coordinate student orientation, induction programs, workshops, and institutional events.
- Support the planning and delivery of student engagement initiatives, clubs, societies, and extracurricular activities.
- Facilitate student feedback mechanisms, including surveys, focus groups, and engagement forums.
- Promote student participation in academic, professional, cultural, and community-based activities.
- Assist in developing initiatives that strengthen student belonging, inclusion, and campus culture.
Reporting, Analytics & Compliance
- Prepare and maintain reports relating to student attendance, progression, retention, completion rates, and engagement metrics.
- Maintain accurate departmental documentation, records, and reporting systems.
- Assist in institutional audits, quality assurance reviews, accreditation activities, and compliance requirements.
- Develop and generate dashboards and management reports to support operational and strategic objectives.
Stakeholder Engagement & Coordination
- Coordinate communication related to academic calendars, key deadlines, events, and student services.
- Liaise with external service providers and support agencies where required.
- Support cross-functional initiatives that contribute to institutional goals and student success outcomes.
Continuous Improvement & Special Projects
- Identify opportunities to improve operational efficiency, service delivery, and student experience.
- Participate in quality improvement initiatives and service excellence programs.
- Undertake special projects and additional responsibilities as assigned by the Head of Academic Operations & Student Affairs.
Qualifications
Essential
- Bachelor’s degree in business administration, Education, Psychology, Event Management, Sports Management, Student Affairs, or a related discipline.
Desirable
- Postgraduate qualification and/or professional certification in Higher Education, Student Services, Counselling, Education Management, or a related field.
Experience
- Minimum 3–5 years of professional experience in student services, academic administration, higher education operations, or a related environment.
- Demonstrated experience in managing student-facing administrative processes and stakeholder interactions.
- Experience supporting student engagement, retention, wellbeing, and success initiatives is highly desirable.
