About the Role
We are looking for a detail-oriented and commercially strong Freight & Logistics Executive to manage the company's freight booking and transportation requirements. The role will involve coordinating domestic and/or international freight movements, negotiating freight rates, managing logistics documentation, understanding applicable transportation and regulatory requirements, and ensuring timely and cost-effective movement of solar equipment and related materials.
The ideal candidate should have practical knowledge of freight operations, documentation, transporter/shipping-line coordination, pricing and negotiation, and should be comfortable working with multiple logistics partners simultaneously.
Key Responsibilities1. Freight Booking & Shipment Coordination
- Manage end-to-end freight booking for company shipments.
- Coordinate with transporters, freight forwarders, shipping lines, courier partners and other logistics service providers.
- Obtain freight quotations and compare rates, transit times, service levels and other commercial terms.
- Select appropriate freight options based on cost, urgency, cargo type and delivery requirements.
- Coordinate pickup, loading, dispatch and delivery schedules.
- Track shipments and proactively follow up on delays, exceptions and delivery issues.
- Ensure timely communication of shipment status to internal stakeholders.
2. Freight Rate Negotiation & Cost Management
- Negotiate competitive freight rates with transporters, freight forwarders and logistics vendors.
- Develop and maintain a reliable network of logistics service providers.
- Regularly benchmark freight rates and identify opportunities for cost optimization.
- Verify freight quotations, surcharges, detention/demurrage charges, handling charges and other applicable costs.
- Identify discrepancies between quoted and invoiced freight charges.
- Maintain freight-cost records and support periodic analysis of logistics expenditure.
- Negotiate long-term/contractual rates wherever commercially appropriate.
3. Solar Equipment & Cargo Understanding
- Develop a strong understanding of the company's solar products and materials from a logistics perspective.
- Understand cargo dimensions, weight, packaging, handling requirements and transportation limitations.
- Assess the appropriate mode of transportation based on cargo specifications.
- Coordinate movement of solar panels, inverters, mounting structures, electrical equipment, batteries and other project-related materials, as applicable.
- Ensure appropriate handling and transportation arrangements for fragile, oversized, heavy or sensitive equipment.
4. Documentation
- Prepare, verify and maintain freight and shipment-related documentation.
- Coordinate documentation required for dispatch, transportation, delivery and customs/shipping processes, wherever applicable.
- Ensure accuracy of invoices, packing lists, delivery challans, e-way bills, transport documents, LR/consignment notes, PODs and other relevant documents.
- Coordinate with internal Finance, Procurement, Sales, Warehouse and Operations teams for documentation requirements.
- Maintain proper records of all freight bookings, quotations, invoices and shipment documents.
5. Compliance & Regulatory Coordination
- Ensure freight activities comply with applicable Indian transportation, tax, documentation and regulatory requirements.
- Maintain awareness of applicable logistics regulations and documentation requirements.
- Coordinate with relevant agencies/service providers for customs, port, transport or regulatory requirements wherever applicable.
- Ensure required permits, declarations and documentation are available before movement of cargo.
- Escalate potential compliance risks or documentation gaps before shipment movement.
6. Vendor Management
- Identify, evaluate and onboard suitable logistics vendors in coordination with management.
- Maintain professional relationships with transporters, freight forwarders and other logistics partners.
- Monitor vendor performance against agreed service levels.
- Resolve issues relating to delays, damages, shortages, incorrect billing and service failures.
- Maintain vendor performance records and support periodic vendor evaluations.
7. Shipment Tracking & Issue Resolution
- Monitor shipments from booking through final delivery.
- Maintain shipment trackers and provide regular status updates.
- Coordinate with vendors in case of delays, route issues, damages, shortages or delivery failures.
- Escalate critical shipment issues to management promptly.
- Coordinate claims and documentation in case of transit damage/loss, wherever applicable.
8. Internal Coordination

to ensure smooth movement of materials from origin to destination.
Required Skills & Competencies Essential
- Strong knowledge of freight booking and logistics operations.
- Practical experience in freight rate negotiation.
- Good understanding of logistics documentation.
- Strong vendor and transporter coordination skills.
- Good knowledge of domestic transportation processes.
- Ability to understand cargo dimensions, weight and transportation requirements.
- Strong follow-up and coordination skills.
- Excellent communication and negotiation abilities.
- Strong attention to detail.
- Ability to manage multiple shipments simultaneously.
- Good knowledge of MS Excel and MS Office.
Preferred
- Experience in solar, renewable energy, electrical equipment, engineering, manufacturing or infrastructure industries.
- Experience handling domestic and/or international freight.
- Exposure to freight forwarding, shipping lines, customs or port operations.
- Knowledge of import/export documentation and procedures.
- Experience handling oversized/heavy/fragile cargo.
- Familiarity with ERP/logistics management systems.

Education & Experience
Education:
Bachelor's degree/diploma in Logistics, Supply Chain Management, Commerce, Business Administration or a related field.
Experience:
2–5 years of relevant experience in freight, logistics, transportation, supply chain or freight procurement.
Candidates with strong practical freight-booking and negotiation experience may be considered irrespective of their exact educational specialization.
Pay: ₹25,000.00 - ₹35,000.00 per month
