Job Summary
We are looking for an experienced Project Coordinator to support the planning, execution, monitoring, and successful completion of construction and interior projects. The ideal candidate will be responsible for project documentation, billing, budget tracking, payment collections, vendor coordination, and ensuring smooth communication between project teams, clients, and stakeholders.
Key ResponsibilitiesProject Coordination & Documentation
- Maintain and manage all project-related documentation and records.
- Prepare and update project files, site records, and project reports.
- Coordinate project communications and maintain Minutes of Meetings (MOM).
- Ensure timely submission and tracking of project-related documents.
Billing & Financial Coordination
- Prepare estimates, billing documents, and project cost reports.
- Coordinate timely invoicing and payment collections.
- Monitor project budgets and support Project P&L management.
- Track project expenses and maintain budget control records.
Customer & Vendor Coordination
- Manage Customer Satisfaction Programs (CSP) and customer follow-ups.
- Coordinate with vendors, suppliers, and contractors for project requirements.
- Prepare vendor agreements and maintain vendor documentation.
- Ensure timely procurement and resource availability.
Project Monitoring & Reporting
- Prepare and maintain project essentials including:
- Budget Tracking
- Project Orientation Documents
- Bi-Weekly Reports
- Project Diary
- Material Requirement Planning (MRP)
- Drawing Request Register
- CSP Records
- Maintain project core presentations and status updates.
- Collect and report daily site progress updates.
Quality & Site Coordination
- Ensure maintenance of site documentation including:
- Measurement Book (M-Book)
- SA-QC Documentation
- Site Book
- Site Store Records
- Site Files
- Drawings and Technical Documents
- Coordinate with project managers, site engineers, designers, and vendors to ensure smooth project execution.
- Monitor project milestones and escalate issues when required.
Requirements
- Diploma or Bachelor's Degree in Civil Engineering, Construction Management, Architecture, or a related field.
- Minimum 5 years of experience in project coordination within the construction or interior design industry.
- Strong knowledge of project documentation, billing, budgeting, and vendor management.
- Experience in project reporting, client coordination, and payment follow-up.
- Proficiency in MS Excel, Word, PowerPoint, and project tracking tools.
- Excellent communication, coordination, and organizational skills.
- Ability to handle multiple projects and meet deadlines.
Preferred Skills
- Knowledge of construction project lifecycle and interior fit-out projects.
- Familiarity with BOQ preparation, estimation, and project budgeting.
- Strong analytical and reporting abilities.
- Ability to work independently and coordinate with cross-functional teams.
