Our client is a leading event and exhibition management company specializing in the conceptualization, planning, and execution of exhibitions, government events, corporate events, conferences, trade fairs, and experiential marketing projects. The company actively participates in public and private sector tenders and delivers end-to-end event management solutions.
Position Overview
The company is looking for a highly organized and detail-oriented Junior Events Executive to support its Tender Documentation, Client Servicing, and Event Operations functions. The ideal candidate should possess strong administrative and coordination skills, be comfortable working with documents and deadlines, and be willing to contribute actively during event execution.
Prior tendering experience is not mandatory. Candidates with a keen eye for detail, good communication skills, and a willingness to learn will be preferred.
Key ResponsibilitiesTender Documentation & Bid Support
- Assist in identifying and tracking relevant event, exhibition, and government tenders.
- Prepare and compile tender documentation as per bid requirements.
- Coordinate collection of company credentials, certificates, work orders, financial documents, and supporting paperwork.
- Maintain and update tender databases, vendor registrations, and company profiles.
- Ensure timely submission of tenders and compliance with eligibility criteria.
- Coordinate with management, finance, and operations teams for required inputs.
- Maintain organized digital and physical records of all bids and submissions.
Client Servicing & Coordination
- Assist in day-to-day communication with clients and vendors.
- Support preparation of presentations, proposals, quotations, and project documents.
- Coordinate project timelines and follow up with internal teams.
- Maintain meeting notes and action trackers.
- Assist in managing client requirements before and during project execution.
Event Operations
- Support planning and execution of events, exhibitions, conferences, and activation projects.
- Coordinate with vendors, suppliers, venues, and production partners.
- Assist in logistics planning and on-ground event management.
- Ensure smooth coordination between clients, vendors, and internal teams during events.
- Prepare post-event reports and documentation.
Desired Skills & Qualifications
- Graduate in Event Management, Business Administration, Commerce, Arts, or related field.
- Freshers with relevant internships may apply.
- Good written and verbal communication skills.
- Strong attention to detail and documentation accuracy.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Ability to manage multiple tasks and deadlines.
- Strong organizational and coordination skills.
- Positive attitude and willingness to learn.
- Knowledge of government tender portals such as GEM, CPPP, or e-procurement platforms will be an added advantage.
Pay: ₹20,000.00 - ₹35,000.00 per month
Work Location: Hybrid remote in Mumbai, Maharashtra
