2. ROLE SUMMARY
The Operations Executive is responsible for the smooth, efficient, and compliant functioning of day-to-day business operations across all departments. This role bridges strategy and execution — ensuring that internal processes, vendor relationships, resource utilisation, and cross-departmental workflows are aligned with organisational goals. The Operations Executive works closely with all department heads to monitor operational performance, resolve bottlenecks, and drive continuous improvement.
3. KEY RESPONSIBILITIES
A. Day-to-Day Operations Management
- Oversee and manage daily operational activities across departments to ensure uninterrupted workflow
- Identify operational bottlenecks, inefficiencies, and risks; escalate or resolve proactively
- Develop and maintain Standard Operating Procedures (SOPs) for core business processes
- Monitor adherence to SOPs and implement corrective actions where required
- Maintain an up-to-date operations tracker covering tasks, timelines, and ownership across teams
B. Cross-Departmental Coordination
- Liaise with heads of Technical, R&D, HR, Accounts, Marketing, Business Development, and other departments
- Conduct regular operational check-ins with department leads to track progress and resolve inter-departmental dependencies
- Coordinate resource allocation and workload distribution across teams in consultation with department heads
- Ensure timely completion of cross-functional deliverables and flag delays to the Manager
- Act as an operational bridge between departments, minimising miscommunication and duplication of effort
C. Vendor & Supplier Management
- Identify, evaluate, and onboard vendors, suppliers, and service providers in line with company requirements
- Negotiate contracts, service agreements, and pricing terms to achieve cost-effective outcomes
- Manage ongoing vendor relationships, track performance, and resolve service issues
- Coordinate with the Accounts department for timely processing of purchase orders and invoices
- Maintain a vendor master list with contract validity, renewal timelines, and performance records
D. Resource & Inventory Management
- Track and manage office supplies, equipment, and operational assets to ensure availability without excess
- Conduct periodic stock audits and coordinate timely procurement of consumables and resources
- Monitor utilisation of shared resources and optimise allocation to reduce wastage
- Coordinate with IT or relevant teams for infrastructure, equipment maintenance, and replacements
E. Process Improvement & Operational Efficiency
- Continuously review existing processes and identify opportunities for automation, simplification, or improvement
- Implement and track operational improvement initiatives in consultation with the Manager
- Prepare and present operational performance dashboards and efficiency reports
- Benchmark internal processes against industry best practices and recommend upgrades
- Support digital transformation or ERP/tool adoption initiatives from an operations standpoint
F. Budget Monitoring & Cost Control
- Assist in preparing the annual operations budget in collaboration with the Accounts department
- Monitor operational expenditure against budgets; flag variances and recommend corrective action
- Evaluate cost-saving opportunities without compromising quality or service delivery
- Maintain records of all operational expenses, approvals, and purchase requisitions
G. Compliance, Documentation & Reporting
- Ensure all operational activities adhere to company policies, statutory requirements, and regulatory standards
- Maintain organised documentation of processes, contracts, vendor agreements, and compliance records
- Prepare daily, weekly, and monthly operations reports
- Compile and present consolidated status updates, risk logs, and action trackers
- Support internal audits and provide required operational data and documentation
4. QUALIFICATIONS & REQUIREMENTS
Educational Qualification
- Bachelor's degree in Business Administration, Operations Management, Commerce, or a related field
- MBA or Post-Graduate Diploma in Operations / Management is an advantage
Experience
- 2–5 years of experience in operations, business administration, or a related role
- Prior experience in coordinating across multiple departments or business units preferred
- Exposure to vendor management, procurement, or facility management is desirable
Skills & Competencies
- Strong organisational and multitasking abilities with a high degree of attention to detail
- Excellent written and verbal communication skills
- Proficiency in MS Office Suite (Excel, Word, PowerPoint); familiarity with ERP or project management tools is a plus
- Analytical mindset with the ability to interpret operational data and generate actionable insights
- Problem-solving orientation with the ability to work under pressure and meet deadlines
- Team player with strong interpersonal skills and the ability to work across hierarchies
- High degree of integrity, professionalism, and discretion
Pay: ₹30,000.00 - ₹40,000.00 per month
