We are looking for a proactive and detail-oriented Import Documentation & Operations Executive to handle end-to-end import documentation, shipment coordination, and import-related operations. The ideal candidate should have strong organizational skills, proficiency in MS Excel and MS Word, and the ability to manage multiple tasks efficiently.
Key Responsibilities
- Prepare, verify, and maintain all import documentation accurately.
- Coordinate with overseas suppliers, freight forwarders, shipping lines, and Customs House Agents (CHA).
- Track import shipments and ensure timely customs clearance and delivery.
- Review and process Commercial Invoices, Packing Lists, Bills of Lading, Certificates of Origin, and other shipping documents.
- Ensure compliance with import regulations, customs requirements, and company policies.
- Maintain shipment records, documentation, and import files in an organized manner.
- Prepare reports, shipment status updates, and documentation using MS Excel.
- Create and edit professional documents, letters, reports, and correspondence using MS Word.
- Perform data entry, document formatting, and record management with high accuracy.
- Coordinate with internal departments for shipment planning and inventory updates.
- Communicate with suppliers and logistics partners regarding shipment schedules and documentation.
- Resolve documentation discrepancies and follow up on pending approvals.
- Support general administrative and office operations as required.
Required Skills
- Good knowledge of import documentation and import operations.
- Understanding of customs clearance procedures and international shipping documents.
- Strong proficiency in MS Excel (formulas, filters, sorting, VLOOKUP, Pivot Tables, report preparation, and data management).
- Excellent skills in MS Word, including document creation, formatting, editing, tables, templates, and professional correspondence.
- Good knowledge of MS Outlook and email communication.
- Strong written and verbal communication skills.
- Excellent attention to detail and organizational skills.
- Ability to multitask and meet deadlines.
- Basic knowledge of ERP/Tally or inventory software is an added advantage.
Eligibility
- Qualification: Graduate (Commerce, Logistics, Supply Chain, Business Administration, or a related field).
- Experience: 1–3 years in import documentation, logistics, or import operations. Candidates with relevant knowledge and strong computer skills are encouraged to apply.
Pay: ₹12,000.00 - ₹15,000.00 per month
