Unimax International is seeking a highly organized and proactive Executive Assistant to support the Managing Director (M.D.) in managing key administrative tasks. This position will be responsible for ensuring seamless coordination between departments, specifically focusing on taking follow-ups, generating reports from the Plant, and leading teams to ensure timely and efficient project execution under deadlines.
Key Responsibilities:
- Follow-up and Coordination: Take responsibility for following up with the Plant to ensure that tasks, projects, and production timelines are met. Maintain regular communication with relevant departments to monitor progress and identify any delays or issues.
- Report Generation: Collect data from the Plant and generate timely, accurate, and comprehensive reports for the M.D. on production performance, project status, and other key metrics.
- Team Leadership and Management: Lead and manage the team to ensure that daily tasks and long-term projects are completed efficiently. Coordinate with various department heads and team members to maintain productivity and adherence to deadlines.
- Deadline Management: Ensure that all work, including reports, tasks, and projects from the Plant, is completed on time. Track deadlines and provide timely reminders and updates to ensure nothing falls behind.
- Administrative Support: Provide general administrative support to the M.D., including managing calendars, scheduling meetings, and preparing materials for internal and external communications.
- Problem Solving: Address any issues or challenges raised by the team or the Plant. Provide solutions or escalate to the M.D. when necessary, ensuring that operations run smoothly without disruption.
- Communication: Act as the main point of contact between the M.D. and the Plant, ensuring that information flows effectively between all stakeholders. Ensure clear and timely communication of expectations, deliverables, and timelines.
- Confidentiality and Professionalism: Handle sensitive information with the utmost discretion and professionalism. Maintain confidentiality while dealing with sensitive business matters.
- Performance Tracking: Regularly track and report on team performance, helping to optimize processes, boost efficiency, and improve productivity within the Plant.
- Other Tasks: Assist the M.D. in special projects and ad-hoc tasks as needed. Manage various operational processes to enhance the overall performance and success of the organization.
Qualifications:
- Graduate in any discipline.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong command of executive-level administrative tasks and team management.
- Excellent follow-up skills with a demonstrated ability to manage and track progress effectively.
- Strong leadership and team management skills with the ability to motivate and manage teams.
- Ability to work under pressure, ensure deadlines are met, and adapt to changing priorities.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Previous experience in an executive assistant role, preferably in manufacturing or production-related industries, is a plus.
