We are seeking a dedicated, highly organized, and proactive Executive Assistant (EA) to the Directors. In this versatile role, you will do more than just manage schedules—you will act as a key pillar of support for our top-level management. This unique position offers a panoramic view of the business, blending high-level executive assistance with foundational HR activities and administrative support for our Accounts and Export departments. Key Responsibilities
1. Executive Support (Core) Calendar & Travel: Manage complex calendars, schedule appointments, and coordinate seamless domestic/international travel arrangements for senior executives. Documentation & Reporting: Prepare high-quality reports, presentations, and briefing materials for critical meetings. Communication Liaison: Act as a gatekeeper and primary liaison between the executive team and internal/external stakeholders; handle confidential correspondence with discretion. Meeting Management: Attend key meetings, take precise minutes, and actively follow up on action items. Office Operations: Optimize and coordinate daily office procedures to ensure maximum organizational efficiency.
2. Human Resources Support Talent Acquisition: Manage end-to-end recruitment, including posting jobs, screening resumes, scheduling interviews, and handling the onboarding process. HR Operations: Maintain accurate digital and physical employee records, track attendance/leaves, and prepare monthly payroll inputs. Engagement & Culture: Support performance appraisals, coordinate training sessions/workshops, and organize team-building activities. Compliance & Relations: Ensure company policies align with labor laws and assist in handling employee grievances or conflict resolution.
3. Cross-Departmental Support (Accounts & Export) Financial Verification: Assist with interest verification, financial reconciliations, and thorough checking of expense invoices before finance team submission. Cost Tracking: Log expenses into respective cost sheets and maintain pristine financial trackers. Reporting: Help compile monthly reports and provide general administrative assistance to the Export and Accounts teams as needed. What We Are Looking For (Skills & Qualifications) The Multi-Tasker: Proven experience as an Executive Assistant, Office Manager, or a blended HR/Admin role. Core EA Capabilities: Exceptional calendar management, travel planning, and minutes-of-meeting documentation. HR Fundamentals: Solid understanding of recruitment lifecycles, payroll inputs, and basic labor compliance. Analytical/Basic Tech Accounting: Comfort with numbers—specifically invoice verification, data entry, and cost sheet maintenance. Tech-Savvy: High proficiency in MS Office (Excel, Word, PowerPoint), Zoom/Teams, and modern data management tools. Soft Skills: Impeccable verbal and written communication, a strict code of confidentiality, sharp attention to detail, and a professional demeanor.
