About Bark India
Bark India is the largest operation of Bark outside the UK, with more than 100 staff members. Bark India started operations in December 2022 and currently manages Customer Experience, Sales, Marketing Content, CRM functions for Global Operations.
About the Role
The Admin Executive is the heartbeat of our Bangalore office. Blending the traditional responsibilities of a Workplace Experience & Operations Coordinator with essential ground-level People Operations, you will be the go-to person for our team. Operating within a leased managed office environment, you will act as the primary liaison with the workspace provider while cultivating a distinct, Bark-branded employee experience. From ensuring the snack pantry is perfectly stocked to helping onboard new hires and planning our quarterly all-site socials, you will play a crucial role in shaping our local company culture.
Key Responsibilities
Workplace Administration & Operations
Facility Management:
Act as the primary point of contact between Bark.com and the managed office provider (e.g., WeWork, Awfis). Ensure service level agreements (SLAs) for housekeeping, maintenance, security, and common area facilities are consistently met. Coordinate and follow up on facility-related issues until resolution.
Office Administration:
Oversee the day-to-day administration of the office, ensuring a clean, organized, safe, and efficient workplace. Manage workspace planning, desk allocations, meeting rooms, visitor management, office supplies, and administrative records.
Vendor & Pantry Management:
Manage relationships with pantry, stationery, housekeeping, and other office vendors. Ensure timely procurement of snacks, beverages, office supplies, and consumables while monitoring inventory levels and managing the monthly administration budget.
Transport & Security Escort Coordination:
Manage employee cab allocations and security escort arrangements for shift-based operations. Coordinate with transport vendors, maintain attendance and transport trackers, verify invoices, and ensure timely processing for payments.
Health, Safety & Compliance:
Ensure the workplace adheres to health, safety, and office compliance standards. Coordinate with facility management on emergency procedures, fire safety drills, access control, and communicate building-related guidelines to employees.
Asset & Inventory Management:
Maintain accurate records of office assets, furniture, company merchandise, welcome kits, office equipment, and basic IT peripherals. Coordinate asset issuance, returns, stock replenishment, and periodic inventory audits.
Administration & Employee Support
Workplace Experience:
Plan and coordinate workplace engagement initiatives such as office celebrations, festivals, quarterly socials, team events, birthdays, and work anniversaries in collaboration with internal stakeholders.
Office Readiness:
Ensure workstations, seating arrangements, access cards, office essentials, and welcome kits are prepared for new joiners and visiting employees. Coordinate with relevant departments to ensure office readiness.
Employee Administrative Support:
Serve as the first point of contact for office administration-related queries, including workplace facilities, transport, access management, office supplies, and vendor-related support.
Budget & Administrative Reporting:
Track administration expenses, maintain vendor contracts, process invoices, prepare monthly MIS reports, and ensure all administrative documentation and records are accurate and up to date.
Continuous Workplace Improvement:
Identify opportunities to enhance workplace efficiency, optimize vendor performance, improve employee experience within the office environment, and implement best administrative practices.
Job Specification
Experience: 2 to 3 years of proven experience in Workplace Operations, Office Management, Employee Experience in Administration, or a similar analogous role.
Education: Bachelor’s degree in Human Resources, Business Administration, Hospitality, or a related field (or equivalent practical experience).
Vendor Management: Demonstrated experience in negotiating with and managing local vendors (specifically for food, beverages, and event supplies).
Event Planning: Prior experience organizing corporate events, team off-sites, or company socials from conception to execution.
Technical Proficiency: Comfortable using modern workplace tools such as Google Workspace (Docs, Sheets, Calendar), Slack, HRIS systems (e.g., Hi Bob, Workday), and basic expense management software.
Managed Office Experience: Familiarity with how leased managed offices or co-working spaces operate is highly preferred.
