Job Description – HR Manager (HR & Administration)

Job Summary
We are looking for a proactive and responsible HR Manager – HR & Administration who will independently manage the organisation’s HR operations and administrative functions.
The role will have significant responsibility for Administration, Facilities, Employee Support, Travel & Logistics, Vendor Management and Office Operations, along with core HR responsibilities such as recruitment, payroll coordination, employee relations, leave management, policies and compliance.
The ideal candidate should be hands-on, organised, solution-oriented and capable of independently managing multiple responsibilities in a dynamic work environment.
Key Responsibilities
1. Administration & Office Management – Primary Responsibility
* Independently manage day-to-day office administration and general administrative operations.
* Ensure smooth functioning of the office, workplace facilities and employee support services.
* Coordinate and manage housekeeping, security, pest control, pantry, office maintenance and other facility-related requirements.
* Coordinate with vendors and service providers for office maintenance, repairs and AMC-related requirements.
* Handle office infrastructure and coordinate for IT, AC, printer, electrical, plumbing and other maintenance requirements.
* Monitor office supplies, stationery, pantry requirements and other administrative inventories.
* Ensure the reception and common areas are maintained in a clean, professional and organised manner.
* Coordinate with building management, maintenance teams and external agencies whenever required.
* Identify administrative issues proactively and ensure timely resolution.
* Maintain records of administrative expenses, vendors, contracts and service agreements.
* Support management with administrative requirements and special projects.
2. Travel & Employee Logistics
* Manage end-to-end domestic and international travel arrangements for employees and management.
* Coordinate flight bookings, hotel bookings, transportation and other travel requirements.
* Coordinate visa applications, invitation letters, travel documentation and travel insurance.
* Support employees travelling to project sites and overseas locations.
* Coordinate travel-related requirements for senior management/directors.
* Maintain proper records of travel bookings, expenses and related documentation.
* Coordinate with travel agencies and other external service providers.
3. HR Operations
* Manage day-to-day HR operations and employee lifecycle activities.
* Handle joining formalities, onboarding, documentation and exit formalities.
* Maintain employee records and HR documentation.
* Manage attendance, leave and employee records.
* Coordinate monthly payroll processing and ensure accurate payroll inputs.
* Handle employee queries and grievances effectively.
* Prepare HR letters such as appointment letters, confirmation letters, increment letters, experience letters and relieving letters.
* Support performance appraisal and employee evaluation processes.
4. Recruitment & Talent Acquisition
* Manage the complete recruitment cycle from manpower requirement to onboarding.
* Coordinate with department heads to understand manpower requirements.
* Source candidates through job portals, referrals, social media and other recruitment channels.
* Screen CVs and conduct initial HR interviews.
* Coordinate technical/departmental interviews.
* Manage offer discussions, salary negotiations and joining formalities.
* Maintain recruitment trackers and hiring records.
* Ensure timely closure of open positions.
5. Policies, Compliance & Employee Relations
* Draft, implement and maintain HR policies and procedures.
* Ensure employees are aware of company policies and processes.
* Handle employee grievances and disciplinary matters professionally.
* Coordinate statutory and HR compliance requirements.
* Support implementation of policies such as POSH, leave, travel, reimbursement and employee conduct policies.
* Maintain appropriate HR documentation and records.
* Coordinate with external consultants/agencies wherever required for compliance matters.
6. Learning & Development
* Identify training requirements in coordination with department heads.
* Prepare training material/PPTs based on departmental SOPs and processes.
* Coordinate training sessions for employees.
* Maintain training records and attendance.
* Support employee development and awareness initiatives.
7. Employee Engagement & Workplace Support
* Act as a point of contact for employee HR and administrative concerns.
* Support employee engagement initiatives and workplace activities.
* Ensure employees receive timely support for HR, travel and administrative requirements.
* Maintain a professional, disciplined and positive work environment.
8. Reporting & HR Documentation
* Prepare HR and administrative reports for management.
* Maintain employee, attendance, leave, recruitment and training records.
* Maintain vendor and administrative documentation.
* Prepare MIS reports and trackers using MS Excel.
* Analyse HR data wherever required for management decision-making.
Required Skills & Competencies

Educational Qualification
Bachelor’s degree in any discipline.
A qualification in HR / Personnel Management / Business Administration will be an added advantage.
Preferred Experience
Candidates with experience in HR & Administration, office/facility management, travel coordination, vendor management and employee operations will be preferred.
